Job summary

Situation Group seeks a Senior Production Finance Coordinator to be the central hub of financial expertise for its client portfolio in the arts and entertainment sector. You’ll manage the full financial lifecycle, ensure budgets are understood and reconciled, and drive process improvements for consistent client billing.

Based in midtown Manhattan, this in-office role requires collaboration with Account Management teams to translate SOWs and media plans into precise billing outputs, guaranteeing

Qualifications

• 3–5 years in billing, account finance, or agency operations.
• Strong understanding of budget structures, media plans, and reconciliation workflows.
• Skilled in billing/finance software such as Advantage or Prisma.
• Excellent verbal and written communication for non-finance stakeholders.
• Ability to manage competing priorities and switch between analysis and execution.
• Proactive in identifying financial risks and inefficiencies.

Responsibilities

• Manage the full financial lifecycle of assigned client accounts with accurate invoicing.
• Translate SOWs and media plans into precise billing outputs and milestones.
• Lead onboarding and setup within financial systems and templating.
• Weekly budgeting reviews with Account Leads and sign-offs for consistency.
• Draft quarterly billing schedules and secure sign-offs from Finance and Account Leads.
• End-of-period reconciliation meetings for WIP, and open questions resolution.
• Prepare weekly AR reports and follow-ups to resolve outstanding balances.
