Texas Parks and Wildlife Department is seeking an executive assistant to the State Parks and Infrastructure division directors. The role requires anticipatory support, prioritizing fast-moving demands, and delivering solutions before they're asked.
Under supervision, the EA handles highly complex professional assistance work, coordinates calendars and meetings with other agencies, greets visitors, and drafts letters and reports.
This role serves as the executive assistant to the State Parks and Infrastructure division directors. The right professional for this role excels at anticipating needs, prioritizing fast moving demands and delivering solutions before they're asked.
Under the direction of the State Parks and Infrastructure division directors this position performs highly complex (senior-level) professional assistance work and oversees various administrative operations to support to State Parks and Infrastructure Division Directors and staff. Maintains confidentiality of sensitive correspondence and communications. Coordinates calendars, meetings, and other activities with other governmental agencies, executives, organizations and Agency staff on behalf of Division Directors. Serves as lead receptionist for the Divisions, greeting visitors and answering phones, interacting with the general public, state, federal, legislative and congressional agencies, and field and headquarters staff. May assist and/or serve as back up for Executive Office administrative staff as needed. Prepares and coordinates human resource related activities and may review timesheets. Creates letters, memos and reports; proofs and edits for grammar, punctuation, sentence structure and clarity; and prepares correspondence for executive management signature. Composes responses to inquiries requiring some understanding of technical matters. Maintains professional and effective working relationships with agency staff and individuals served by Texas Parks and Wildlife Department. Works under limited supervision, with considerable latitude for the use of initiative and independent judgment. Performs additional duties as assigned. Complies with all Agency, Division and Branch rules, regulations and procedures.
Graduation from an accredited college or university with a Bachelor's degree in Business Administration or closely related field.
Two years of progressively responsible experience with complex administrative and support programs involving executive level administrative support and general office management in an automated environment.
Must possess or be able to obtain, within 30 days of employment, a valid state driver's license.
One additional year of experience with complex administrative and support programs involving executive level administrative support and general office management in an automated environment may substitute for 30 hours of the required education, with a maximum substitution of 120 semester hours.
