Job description

Staff Operations Specialist (Freelance or Intern)

Pay: Up to $1000/month | Hours: 8–12 hrs/week
  • Location: Remote
  • Start Date: July 1, 2025 to September 30, 2025
What You’ll Do:
As our Staff Operations Specialist, you’ll lead the onboarding, training, and day-to-day coordination of our entire support team which includes tutors, mentors, bootcamp instructors, and roadmap coaches. Your job is to ensure every SiSTEM learning partner is set up for success and delivering high-quality support.

Key Responsibilities:
  • Coordinate onboarding and training for tutors, mentors, coaches, and instructors.
  • Maintain active rosters of qualified support staff.
  • Match students with appropriate team members based on needs and availability.
  • Monitor performance, review feedback, and flag concerns for follow-up.
  • Support scheduling, communication, and accountability across roles.

Daily Expectations:
  • Respond to internal team and staff inquiries within 24 hours.
  • Confirm upcoming sessions and assignments.
  • Review tutor/coach reports and feedback forms.
  • Proactively follow up on missed tasks, red flags, or training gaps.

Skills We’re Looking For:
  • Strong organizational and time management skills.
  • Excellent written and verbal communication.
  • Detail-oriented and proactive with follow-up.
  • Ability to juggle multiple workflows and people at once.
  • Comfort using project management, email and communication tools (e.g., Google Workspace, Hubspot, Calendly)
  • Background or interest in education, edtech, people operations, or learning experience design.
