Job summary

Sharing Excess is looking for a Staff Accountant to support day-to-day financial recordkeeping, AP/AR management, and data reconciliation in a rapidly growing nonprofit food rescue organization. You will ensure accuracy, support funder reporting, and enable leadership with reliable financial data.

The role reports to the Finance Manager, involves collaboration with operations and partner teams, and offers a hybrid schedule in Philadelphia with emphasis on accuracy, compliance, and audit

Qualifications

• Bachelor’s degree in accounting, finance, business, or related field.
• 1–3 years of accounting or bookkeeping experience.
• Proficiency with QuickBooks Online or similar software.
• Strong experience with Excel or Google Sheets, including formulas, pivot tables, and lookups.
• Exceptional attention to detail and data accuracy.

Responsibilities

• Own accounts payable and accounts receivable workflows with strong controls.
• Oversee reconciliation of bank and credit card activity.
• Assist with monthly and annual close processes.
• Reconcile logistics data with financial invoices with operations.
• Manage partner billing and revenue recognition.

ROLE HIGHLIGHT

The Staff Accountant provides critical financial and administrative support that helps ensure the fiscal integrity and operational efficiency of Sharing Excess. This role manages the day-to-day financial recordkeeping required to support the organization's rapidly growing food rescue operations. By maintaining accurate accounts payable and receivable records, reconciling operational data, and supporting funder compliance, this role enables leadership to make data-driven decisions and ensures transparency for donors, partners, and community organizations.

RESPONSIBILITIES INCLUDE

• Own the accounts payable and accounts receivable workflows, ensuring accuracy, timeliness, and strong internal controls across all financial systems.
• Oversee the reconciliation and validation of all bank and credit card activity, maintaining an accurate, up-to-date financial environment that supports informed decision-making.
• Assist with monthly and annual financial close processes.
• Reconcile logistics and operational data from Sharing Excess's proprietary systems with financial invoices, resolving discrepancies in collaboration with the operations team.
• Manage partner billing for services and deliveries, ensuring accurate revenue recognition and strong partner communication.
• Monitor aging reports and follow up professionally on overdue accounts to maintain healthy cash flow and partner accountability.
• Track restricted grant expenditures and maintain the documentation required to uphold compliance standards and satisfy funder reporting requirements.
• Maintain a structured digital financial archive that supports audit readiness, organizational transparency, and efficient cross-team collaboration.
• Serve as a point of contact for operational finance questions and requests from internal and external stakeholders.

YOU'LL HAVE

• Bachelor's degree in accounting, finance, business, or a related field, or equivalent experience.
• 1-3 years of experience in accounting or bookkeeping.
• Proficiency with QuickBooks Online or similar accounting software.
• Strong experience with Excel or Google Sheets, including formulas, pivot tables, and lookups.
• Exceptional attention to detail and data accuracy.

COMPENSATION & SCHEDULE

$60,000 - $70,000 per year

• Full-time, approximately 40 hours per week.
• Hybrid schedule based in Philadelphia, with 1 day per week in the office.
