Job summary

RealDefense, headquartered in Los Angeles, is seeking a Staff Accountant to manage daily AP/AR, reconciliations, and partner/vendor reporting. You will ensure records are accurate and deadlines met for monthly, quarterly, and yearly closes.

Ideal candidates have 1–3+ years in accounting, familiarity with QuickBooks, Bill.com, and Excel, and strong attention to detail. This on-site role supports a growing cybersecurity software portfolio and collaboration with cross-functional teams.

Qualifications

Responsibilities

• Manage day-to-day AP, AR, reconciliations, and partner/vendor reporting.
• Book customer invoices and vendor invoices in QuickBooks and Bill.com.
• Categorize bank deposits, expenses, and credit card transactions.
• Prepare weekly AR status updates and reconcile accounts.
• Review vendor expenses and missing invoices; confirm W-9s on file.

The Staff Accountant manages day-to-day AP, AR, reconciliations, and partner/vendor reporting, ensuring accurate records and on-time monthly, quarterly, and yearly deadlines.

Key Responsibilities

Daily Tasks

• Monitor and respond to accounting inboxes (billing, vendor/product-specific).
• Book customer sales and vendor invoices (QuickBooks, Bill.com).
• Categorize bank deposits, expenses, and credit card transactions.
• Save invoices and files in Accounting/AP folders.
• Verify Bill.com invoices for accuracy before payment.
• Set up new vendors in Bill.com and confirm W-9s on file.

Weekly / Bi-Weekly Tasks

• Maintain AP schedule and route invoices for manager approval.
• Handle AR collections and follow up on overdue payments.
• Prepare weekly AR status updates.
• Review vendor expenses and follow up on missing invoices.
• Review and summarize weekly merchant report transactions.
• Reconcile bank and credit card accounts.

Monthly Tasks

• Review and finalize bank/credit card reconciliations against statements.
• Prepare and distribute partner, white label, technology, and drop-ship reports.
• Prepare MDF accrual and accrued receivables entries.
• Prepare inventory reports and adjusting entries.
• Follow up on missing sales reports; send updates to management.
• Assist with sales clearing reconciliation.

Quarterly Tasks

• Prepare VAT reports; follow up on international tax filings (AU/UK).
• Prepare and distribute quarterly partner revenue share reports.

Yearly Tasks

• Prepare and file annual property tax forms.
• Collect and upload vendor W-9 forms.

Qualifications

• Associate's or Bachelor's degree in Accounting, Finance, or related field preferred.
• 1-3+ years of AP, AR, or general accounting experience.
• Proficient in QuickBooks, Bill.com, and Excel.
• Strong organizational skills and attention to detail.
• Clear written communication with vendors and customers.
