Job description

Sr. Workplace Experience Coordinator - Washington, DC
  • Full-time
  • Compensation: USD 75,000 - USD 82,500 - yearly

About CBRE and Experience Services:

CBRE is the world's largest commercial real estate services firm. Experience by Industrious is CBRE’s global hospitality business that partners with leading companies and landlords to design and operate workplaces people love coming to. We treat the daily experience of work as a product worth obsessing over, and we build our teams with people who feel the same way.

About the Role:

The Experience Coordinator shapes how the workplace feels each day for everyone who walks through the door. You're the first person most people encounter when they walk through the door. At a high-performing site, that moment is never accidental. You will shape how employees and visitors feel about their workplace everyday. You own the front-of-house: greetings, visitor management, event logistics, mail and supply coordination, and maintenance dispatch. You will be successful in this role when you greet and look after every visitor and employee, keep events running on time, and resolve building issues before they are noticed.

What You'll Do: Front-of-House & Visitors

  • Greet everyone entering the facility, issue visitor and parking passes, and apply security protocols so guests feel welcome and the site stays secure.
  • Answer the telephone professionally and make a memorable first impression.
  • Acknowledge inquiries and complaints from employees, guests, and co-workers, and provide professional solutions.
  • Manage janitorial and maintenance work orders through to completion so employees are not working around problems in the space.
  • Coordinate mail services, office supply ordering, and employee onboarding so new joiners have what they need on their first day.
  • Coordinate with vendors supplying services and goods to the workplace to maintain agreed service levels.

Events & Activities

  • Organize and manage on-site events, including space reservations, setup and teardown, and supply delivery, so hosts can focus on their attendees.
  • Arrange and confirm recreational, dining, and business activities on behalf of the requestor.

This Role Is a Good Fit If You:

  • Notice when a visitor needs directions or an answer before they've asked for it, and visitors remark on how at ease it makes them feel.
  • Prioritize on the spot when an event, a delivery, and three requests hit at the same time, and never drop or forget the requests.
  • Truly enjoy each day being totally different, without tons of advanced warning. The unpredictable nature of the day energizes you instead of draining you.
  • Catch when something's slightly off-brand or a supply level is running low, before anyone else notices.

What You Need:

Applicants must be currently authorized to work in the United States without the need for visa sponsorship now or in the future

  • 2 or more years of experience in customer service, hospitality, or a workplace environment.
  • Comfortable with standard workplace and collaboration tools (email, documents, spreadsheets, and scheduling)
  • Strong preference for experience in a corporate, hotel, or premium service environment, familiarity with visitor management or workplace coordination tools, and comfort with event setup and vendor coordination.
  • HS Diploma or GED or equivalent experience required.
  • A minimum of 3-4 years of front desk, concierge, customer service, or other hospitality experience.
  • Property Management experience preferred but not required
  • Open and flexible work schedules.
  • Ability to comprehend and interpret instructions, and memos and ask clarifying questions. Desire to present information to an internal department and/or large groups of employees.
  • Comfortable meeting and engaging with new people with a warm demeanor, being able to assess circumstances, empathize, and offer help.
  • Apply a high level of attention to detail as well as strong verbal and written skills.
  • Ability to work requiring significant walking or through other means of mobility. This includes standing in position for extended periods, reaching, bending, stooping, pushing and/or pulling, and frequently lifting up to 40 lbs
  • Working knowledge of Google Docs and Slack. Some experience with Jira would be useful but not required.
