Job summary

Qualifications

  • Minimum of 3–5 years of directly related experience, preferably in a physician’s office or other healthcare setting.
  • Proficiency in Microsoft Office applications (Word, PowerPoint, Excel).
  • High school diploma or GED required; college education preferred.
  • Knowledge of medical terminology.
  • Excellent customer service skills with the ability to work independently and resolve issues with limited supervision.
  • Experience interfacing with various levels of the practice, especially with managed care issues.
  • Strong organizational, detail-oriented, and multitasking skills; ability to set priorities under pressure in a high-throughput environment.
  • Demonstrated problem-solving skills and discretion to exercise independent judgment.
  • Ability to work well as a team player with excellent interpersonal and communication skills.

Job Summary

This Sr. Practice Assistant position at the MGH Radiation Oncology department offers a hybrid schedule—three days per week remote and two days on site at the MGH main campus in Boston—for a patient-centered, fast‑paced clinic environment. The role supports multiple providers, guiding patients through registration, insurance verification, record collection, and appointment scheduling while maintaining high standards of patient experience and confidentiality.

Responsibilities
  • Act as liaison between the patient and the practice; triage patient calls to NP, Resident or MD as appropriate.
  • Handle a high volume of patient calls and resolve all issues using sound judgment.
  • Assure complete and documented financial information for each patient prior to scheduling.
  • Schedule patient appointments using multiple systems or resources.
  • Ensure accuracy of advanced complex scheduling of patient appointments.
  • Generate letters, emails, and Patient Gateway messages to communicate appointment details.
  • Place orders and schedule imaging studies in EPIC, obtaining authorization as required.
  • Obtain copies of imaging done at outside facilities and upload scans to Epic.
  • Obtain medical records from outside facilities for new patients.
  • Complete external referrals upon request.
  • Provide coverage to other administrative assistants when necessary.
  • Assist in training and orienting new staff to scheduling processes and procedures in accordance with best practice and department policies.
  • Work to ensure HIPAA confidentiality and privacy policies are fully implemented.
  • Respond to and resolve all patient issues and complaints.
  • Work closely with the clinical staff to determine needs and solve problems.
  • Attend monthly staff meetings.
  • Perform all other duties or special projects that are unit specific and are appropriate to this level of position.
