Our client, a growing organization with a complex, multi-state footprint, is seeking a Senior Payroll Specialist to support their payroll operations. We’re looking for a detail-driven Payroll Operations Specialist to take full ownership of payroll processing across multiple employee groups.
What You’ll Be Doing
Full-Cycle Payroll Ownership
- Manage end-to-end payroll processing (weekly, bi-weekly, and K-1), ensuring accuracy, timeliness, and compliance
- Process certified payrolls for government and prevailing wage projects, including pay statement preparation and review
- Monitor and apply prevailing wage requirements across multiple jurisdictions
- Transfer time & attendance data from ERP systems and upload to ADP for processing
- Perform detailed payroll audits, identify discrepancies, and resolve issues proactively
- Maintain accurate labor and time data for job costing and reporting
- Stay current on federal, state, and local payroll regulations
- Reconcile payroll components including taxes, garnishments, and deductions each cycle
- Review payroll tax filings and reconcile quarterly and annual reports
- Process and validate certified payroll reporting in compliance with regulatory requirements
- Support internal, audit, and government reporting needs
- Set up and maintain earnings and deduction codes, including taxability and W-2 alignment
- Ensure accurate and compliant processing of final pay and off-cycle payments
- Act as the primary liaison with ADP and coordinate payroll activities
- Manage 401(k) contributions, loans, and updates, including timely uploads to Empower (within 48 hours)
- Maintain garnishments and retroactive deductions
- Continuously improve payroll processes, documentation, and internal controls
- Participate in system enhancements, integrations, and special projects
What We’re Looking For
- 7+ years of payroll experience, with a strong focus on certified payroll and/or prevailing wage environments
- Hands-on experience with multi-state payroll processing
- Solid understanding of prevailing wage and compliance requirements
- Experience with ADP Workforce Now strongly preferred
- Detail-oriented with the ability to work in a fast-paced, deadline-driven environment
Nice-to-Have
- CPP or FPC certification
- Background in construction, manufacturing, or other project-driven industries
- Experience supporting audits or working with compliance-heavy payroll environments
