Job description

Smartsheet is a tech company with a human story to tell. We’re here to empower teams to manage projects, automate workflows, and rapidly build new secure solutions using simple no-code tools. We’re revolutionaries — changing the way the world works is our daily mission.

We are seeking an experienced Senior Payroll Analyst with a proactive approach to automation and process improvement to join our high-growth SaaS company. In this key role, you will support payroll operations mainly for our U.S. workforce, with opportunities for global collaboration. Your responsibilities will include payroll processing, reconciliations, and employee support, all while championing efficiency and scalable solutions.

We are looking for a detail-oriented, analytical professional with excellent communication skills and a passion for continuous improvement. If you thrive in a fast-paced, evolving payroll environment, we want to hear from you.

You will report to the Payroll Manager. This role is remote, with a preference for candidates in Pacific or Mountain time zones.

You Will
  1. Process, reconcile, and validate payroll for over 2,200 U.S. employees, including off-cycle and ad-hoc payments. Collaborate with third-party vendors like OSV and CloudPay to ensure accuracy and timeliness. Support international payroll as needed.
  2. Manage U.S. payroll tax compliance, including registration, filings, and maintaining compliance across jurisdictions.
  3. Lead year-end payroll processes (W-2/W-3 reconciliation) and support external audits (e.g., 401(k), workers' compensation) with necessary documentation.
  4. Drive improvements to payroll systems, focusing on U.S. payroll configurations. Lead Workday projects from requirements gathering to implementation.
  5. Analyze payroll issues to identify root causes and implement effective solutions, staying updated on best practices and regulatory changes.
  6. Serve as the primary contact for U.S. payroll inquiries, providing prompt support. Collaborate with internal teams such as AP, Tax, People Ops, Benefits, Compensation, and Accounting.
  7. Support global payroll initiatives, including country expansions and compliance research. Facilitate cross-training and uphold confidentiality standards.
You Have
  1. 5+ years of experience in processing multi-state U.S. payroll and supporting international payrolls.
  2. Strong knowledge of federal, state, and local payroll and tax regulations.
  3. Hands-on experience with payroll systems, especially Workday and CloudPay. Familiarity with OSV Atmosphere and Fidelity is a plus.
  4. Deep understanding of stock-based compensation (ESPP, ISOs, RSUs, NQs) and related tax implications.
  5. Exceptional communication skills—clear, professional, and approachable in both written and verbal formats.
  6. High attention to detail and accuracy, with strong analytical and problem-solving skills.
  7. Ability to prioritize, adapt to shifting demands, and work independently in a fast-paced environment.
  8. Advanced Excel/Google Sheets skills, including VLOOKUPs and pivot tables.
  9. Understanding of payroll-related accounting and finance principles.
  10. A mindset geared towards continuous improvement, with experience automating and scaling payroll processes.

Additional benefits include HSA, employer-paid premiums, medical/vision/dental coverage, 401(k) match, monthly stipends, life and disability insurance, paid holidays, parental leave, volunteer days, professional development opportunities, and flexible teleworking options within the U.S.

Note: Salary ranges are market-based and depend on professional experience, education, skills, and location. This role is also eligible for a competitive incentive package.

US Base Salary Range: $80,000 - $110,000 USD
