Job summary

FALL CREEK FARM & NURSERY in Henderson, NV is seeking an experienced Operations Manager to lead the administrative team and streamline billing processes. You will oversee office operations, budgets, and confidential records while coordinating with project teams, vendors, and clients to ensure accurate invoicing and timely payments.

The role requires strong leadership, a background in billing/finance, and the ability to manage multiple priorities in a fast-paced environment.

Qualifications

  • 6+ years of progressive office management or administrative experience, preferably in construction or related field.
  • Experience in billing, invoicing, accounts receivable, or financial management.
  • Experience communicating with external customers, vendors, and cross departments.
  • High School diploma/GED; bachelor’s degree in business administration or related field preferred.
  • Proficiency in SAP, Google Suite (Sheets, Docs, Slides, etc.). is preferred.
  • Proven ability to supervise staff, delegate tasks, and mediate workplace conflicts.
  • Excellent time management and multitasking in a fast-paced construction environment.

Responsibilities

  • Review billing documentation, contracts, purchase orders, and supporting records.
  • Track outstanding invoices and assist with accounts receivable follow-up.
  • Manage office budgets, process invoices, and coordinate with accounting for payroll adjustments.
  • Maintain physical and digital filing systems, ensuring data security and confidentiality.
  • Oversee daily administrative procedures and implement new workflows to improve efficiency.
  • Coordinate management schedules, travel arrangements, company events, and internal meetings.

What you’ll do

Manage a team of administrative personnel, including Office Manager, Billing Coordinators and Project Coordinators.

Coordinate with project managers, field personnel, vendors, and customers to resolve billing discrepancies. Prepare billing reports and provide updates to management.

Review billing documentation, contracts, purchase orders, and supporting records.

Track outstanding invoices and assist with accounts receivable follow-up. Coordinate with customers billing expectations and milestones.

Manage office budgets, process invoices, billing processes, track expenses, and coordinate withaccounting for payroll adjustments.

Maintain physical and digital filing systems, ensuring data security and confidentiality.

Being flexible enough to handle changes in policy or unexpected facility issues andshow leadership to the team broadly.

Ability to work independently and anticipate problems before they arise.

Oversee daily administrative procedures, maintain office systems, and implement newprotocols to improve workflow efficiency.

Oversees daily end-of-day office closing procedures, including ensuring the office is secured before departure.

Coordinate management schedules, travel arrangements, company events, and internal meetings. Act as the primary point of contact for visitors and incoming communications.

What you’ll need

6+ years of progressive office management or administrative experience, preferably in construction, general contracting, or a related field (e.g., architecture, engineering, propertydevelopment).

Experience in billing, invoicing, accounts receivable, or financial management is required.

Experience communicating with external customers, vendors, and cross departments.

High School diploma/GED required; bachelor’s degree in business administration or arelated field highly preferred.

Proficiency in SAP, Google Suite (Sheets, Docs, Slides, etc.). is preferred.

Proven ability to supervise staff, delegate tasks effectively, and mediate workplaceconflicts.

Exceptional time management and the ability to multitask in a fast-paced constructionenvironment.

Strong verbal and written skills for professional correspondence and cross departmental coordination.

High level of attention to detail and accuracy (especially with financial and contractualdocuments).

Ability to maintain confidentiality and exercise sound judgment.
