Job description

Senior Manager, Speaker Programs & Peer-to-Peer Operations

The Senior Manager, Speaker Programs & Peer-to-Peer Operations is responsible for implementing, managing, and continuously improving the operational infrastructure required to deliver compliant, scalable, and effective Commercial speaker bureau, peer-to-peer (P2P), and patient educational programs. This role serves as the operational lead and business process owner for speaker bureau and program execution, partnering closely with Marketing, Sales, Field Leadership, Legal, Compliance, and external agency partners to ensure consistent, efficient, and compliant program delivery. The individual is responsible for establishing and maintaining standardized operational processes, systems, controls, and reporting that support the end-to-end lifecycle of speaker and peer-to-peer programs. The Senior Manager oversees all operational aspects of speaker bureau, peer-to-peer, and patient programming, including program intake and scheduling, speaker onboarding and contracting, training coordination, attendee management, logistics, agency management, payment processing, compliance documentation, financial reconciliation, technology-enabled workflows, and operational reporting. This role drives operational excellence through process optimization, stakeholder partnership, financial stewardship, and continuous improvement initiatives that enhance program efficiency, compliance, and scalability.

Responsibilities
  • Program Operations, Technology & Reporting Establish the HCP speaker bureau and P2P and patient education program operating models from the ground up, including processes, governance, standards, and approval workflows for all approved formats (in-person, virtual, and hybrid). Lead day-to-day operations from request intake through closeout. Serve as the primary operational point of contact for internal stakeholders and external partners. Develop and maintain SOPs, templates, job aids, and training materials, and train internal teams and agency partners on them. Act as business owner for speaker-program technology platforms. Partner with the agency and internal teams to implement and configure workflows for intake, approvals, scheduling, attendee management, and documentation, and identify automation and integration opportunities. Define program KPIs and service-level expectations. Deliver routine reporting and dashboards on program volume, speaker utilization, attendance, spend, cancellations, and geographic distribution. Analyze trends and post-program results to support program justification, ROI assessment, and decision-making, in partnership with Marketing. Maintain a program calendar that gives stakeholders visibility into scheduled and completed activities, and implement process improvements that increase efficiency, scalability, stakeholder experience, and compliance.
  • HCP Speaker Management Manage the agency's execution of the speaker lifecycle, including onboarding, contracting, scheduling, and payment, and hold the agency accountable to defined processes, timelines, and service levels. Partner with the agency to develop and deliver speaker training, define training requirements with Compliance, Legal, and Medical (as applicable), and ensure completion is documented before speakers are activated. Partner with Legal, Compliance, and Finance to ensure speaker contracting and compensation processes are compliant, and review the agency's work against those requirements. Coordinate with Marketing, Field Leadership, Legal, and Compliance on speaker selection, eligibility, and program readiness, and support needs-assessment and fair market value documentation. Oversee speaker documentation and participation records, track and report on speaker utilization, and administer speaker rotation, utilization limits, and periodic evaluation or retirement of speakers in accordance with company policy. Serve as the operational resource for speakers and internal teams on participation requirements and processes.
  • Program Execution Oversee operational execution of peer-to-peer programs from approved request through program closeout. Coordinate program logistics, including venue sourcing, food and beverage, audiovisual requirements, invitations, registration, attendee communications, and other program needs. Develop and manage program communications, including program logistics communications for patients and HCPs (e.g., confirmations, reminders, and follow-ups) and route materials through Medical, Legal, and Regulatory review. Ensure program readiness, manage operational issues and escalations, and oversee post-program reconciliation and closeout activities. Establish execution standards that promote consistency, quality, and compliance across all program formats.
  • Agency & Vendor Management Serve as the primary operational contact for speaker bureau, peer-to-peer, and patient education program agency partners. Manage agency workflows, deliverables, service levels, timelines, and issue resolution. Monitor program-level spending and agency fees and identify opportunities to improve operational efficiency. Drive accountability against established performance expectations and service-level agreements.
  • Compliance & Documentation Partner closely with Legal and Compliance to operationalize speaker-program policies and requirements. Ensure appropriate approvals and documentation are completed throughout the program lifecycle. Maintain processes supporting attendee eligibility, sign-in/attendance documentation, meal limits, and other applicable requirements. Support required transparency and spend-reporting processes in partnership with appropriate internal functions. Maintain audit-ready program documentation and records in accordance with company policies and retention requirements. Identify, elevate, and support resolution of compliance and operational risks. Support audits, monitoring activities, and compliance reviews related to speaker-program operations.
  • Financial Operations Manage operational budget tracking for speaker bureau, peer-to-peer and patient education programs. Coordinate purchase orders, invoices, speaker payments, program expenses, and reconciliation in partnership with Finance and Procurement. Monitor program spending, maintain financial records, and support forecasting, accruals, and reconciliation activities. Identify opportunities to optimize spending while maintaining quality, compliance, and operational effectiveness.
  • Reporting & Analytics Develop routine reporting on program volume, speaker utilization, attendance, spend, cancellations, geographic distribution, and other operational metrics. Establish and maintain dashboards and performance metrics that support business decision-making and continuous improvement. Monitor operational trends and identify opportunities to improve program efficiency and execution. Support post-program evaluation and reporting to appropriate internal stakeholders. Partner with marketing and other stakeholders to provide operational data supporting program assessment and business decision-making.
Requirements

  • Strong analytical, problem-solving, and decision-making skills with the ability to identify issues, evaluate solutions, and drive resolution.
  • Excellent verbal, written, and presentation skills, with the ability to communicate effectively and influence stakeholders across all levels of the organization.
  • Strong interpersonal and relationship-building skills with the ability to collaborate effectively across cross-functional teams and external partners.
  • Experience supporting pharmaceutical or biotechnology commercial organizations during pre-launch or launch phases preferred.
  • 5+ years of experience in speaker bureau operations, peer-to-peer programming, meetings and events, commercial operations, field engagement, sales operations, or related pharmaceutical/biotechnology functions.
