A leading legal organization is seeking an accomplished Sr. Legal Secretaryto support a dynamic, collaborative team of attorneys, principals, paralegals, and business professionals. This is a hybrid role and is on site 4 days a week. You MUST have experience in a legal environment to qualify.
TheSr. Legal Secretary will serve as a trusted resource, taking ownership of workflow coordination and ensuring assignments are appropriately prioritized, efficiently delegated, closely monitored, and completed to the highest standard. The role requires a seasoned legal professional with exceptional organizational skills, sound judgment, discretion, and a proactive approach to supporting sophisticated legal practices.
Key Responsibilities
- Coordinate, prioritize, track, and facilitate workflow across a busy legal team, ensuring deadlines and client needs are consistently met.
- Serve as a key point of contact for attorneys, paralegals, and business professionals.
- Evaluate assignments, identify appropriate resources, and coordinate the timely completion of work.
- Partner with attorneys to understand priorities, requirements, and time-sensitive matters.
- Proactively identify workflow challenges, elevate issues when appropriate ,and help develop effective solutions.
- Manage complex calendars, meetings, conference calls, travel arrangements, and other high-level administrative needs.
- Support client billing, attorney timekeeping, expense reporting, and matter administration.
- Prepare, proofread, organize, and coordinate correspondence, presentations, reports, and client materials.
- Maintain accurate client, matter, contact, and document information in accordance with firm standards.
- Utilize legal technology and document management systems to support an efficient and organized practice.
- Maintain comprehensive handover documentation to ensure seamless continuity of support.
- Mentor and support junior team members while fostering a culture of collaboration, accountability, and service excellence.
- Contribute to process improvements and support the successful implementation of new initiatives.
Ideal Qualifications
The successful candidate will have:
- 8+ years of legal administrative or legal assistant experience , preferably within a law firm environment.
- Exceptional attention to detail, organization, judgment, and follow-through.
- Proven ability to manage multiple priorities and competing deadlines in a fast-paced environment.
- Strong written and verbal communication skills and the confidence to interact with senior attorneys and business professionals.
- Demonstrated ability to coordinate resources, allocate work, and drive assignments through completion.
- A highly professional and discreet approach, with a strong commitment to confidentiality.

- The ability to mentor and support less experienced team members.
