Job summary

Description

Spatial Front, Inc. (SFI), a two-time USAToday Top Workplaces awardee and Washington Top Workplaces honoree, is seeking a Sr. Functional Specialist to support our growing team. This position provides high-level task management support services to assist with high-priority activities, including those related to substance use and overdose prevention. The chosen candidate will provide program management support to coordinate and manage work efforts across controlled substances initiatives and programs, as well as dedicated support for our customer.

Primary Responsibilities

  1. Project Planning and Management
  2. Define project scope, phases, deliverables, milestones, timelines, and measures of success.
  3. Develop and maintain project plans, trackers, schedules, and supporting documentation.
  4. Monitor assignments, action items, dependencies, and deadlines across active projects.
  5. Identify emerging issues and coordinate follow-up to support timely completion of FDA commitments.
  6. Compile monthly status updates on project progress, accomplishments, risks, and upcoming activities.
  1. Research, Analysis, and Document Development
  2. Conduct literature reviews, environmental scans, and data analyses to support ongoing initiatives.
  3. Retrieve, review, curate, and organize records from FDA systems and other relevant sources.
  4. Contribute to the development of Federal Register notices, presentations, speeches, articles, reports, and related communications.
  5. Draft, revise, format, route, and track documents through internal review and clearance.
  6. Prepare briefing materials, summaries, and other written products for leadership and project teams.

Stakeholder and Meeting Coordination

  1. Support the development of stakeholder engagement and outreach strategies.
  2. Coordinate internal and external meetings, including participant outreach, agendas, briefing materials, logistics, and follow-up.
  3. Document key discussion points, decisions, recommendations, and next steps.
  4. Support public meetings and workshops through notice development, speaker coordination, registration, logistics, and on-site or virtual assistance.
  5. Arrange meeting platforms and technology for FDA and stakeholder engagements

Data, Systems, and Knowledge Management

  1. Develop and maintain digital tools, trackers, and workflows for monitoring projects and deliverables.
  2. Build and manage databases or data repositories needed to support project activities.
  3. Maintain SharePoint sites, project files, reference materials, and final records.
  4. Organize and archive meeting summaries, cleared documents, and supporting materials.
  5. Improve project processes and tools to strengthen coordination, reporting, and information management.

Team and Operational Support

  1. Respond to staff inquiries and project-related requests in a timely manner.
  2. Coordinate across project teams to gather updates, resolve information gaps, and support completion of deliverables.
  3. Provide day-to-day operational support for high-priority and time-sensitive initiatives

Requirements

  • PhD/PharmD required
  • 5+ years of experience in a similar role
  • Experience producing a variety of written scientific reports and documents

Desired Skills

  • PMP certification highly desired

  • In order to meet the clearance requirements for this opportunity, candidates must be US Citizen and/or Current Green Card Holder.

  • Public Trust background investigations can take approximately four to eight weeks and requires fingerprinting.

  • The salary for this position is $90,000 - $160,000 annually
