Job summary

United States Digital Space LLC seeks a Senior Facilities Specialist in Hawthorne to lead facilities projects and coordinate multi-discipline teams for aerospace and industrial settings.

You will manage drawings, maintenance coordination, office relocations, vendor selection, and safety training while communicating schedules to stakeholders and ensuring compliance with ITAR requirements.

Qualifications

  • Bachelor’s degree or 7+ years of experience in managing facilities vendors, contract management in lieu of a degree.
  • 5+ years of experience in managing facilities vendors, contract management, or shipping and operational logistics.
  • Ability to read and understand basic floor plans.
  • Ability to work effectively in a team environment.
  • Knowledge of basic computer applications; ability to navigate different software.

Responsibilities

  • Lead construction and facilities projects and upgrades for new production lines, offices, or industrial upgrades.
  • Assist with design, development, and issuance of drawings, documentation, and reports for construction and facilities in aerospace, large commercial, or industrial projects.
  • Verify maintenance and coordinate repair, build, and contingency systems for HVAC, electrical, cranes, security, fire protection.
  • Communicate building activities and schedules to personnel, subcontractors, and suppliers to meet deadlines.
  • Write, negotiate, and manage scope across multiple disciplines related to construction and facilities.
  • Maintain interior office and factory cleanliness.
  • Plan, set up, and execute events for VIPs, vendors, and staff.
  • Assist with office relocations and move plans.
  • Work with purchasing to ensure vendors are approved, vetted, insured.
  • Support campus services such as bike, laundry, and office supplies.
  • Assist with badging, ITAR, NDA requirements, and safety training.
  • Create RFPOs and assist with furniture and vendor selection.
  • Track purchase orders, weekly reports, and project schedules.

SR. FACILITIES SPECIALISTRESPONSIBILITIES:
  • Lead construction and facilities related construction projects and upgrades pertaining to new production lines, office spaces, improvements, or industrial upgrades
  • Assist with the design, development, and issuance of drawings, documentation, and reports for construction and facilities in aerospace, large commercial, or industrial-type projects
  • Verify maintenance is being completed and coordinate all repair, build, and contingency systems efforts for HVAC, electrical, cranes, facility systems (e.g. lighting, doors, roof leaks), security systems, and fire protection systems
  • Communicate and deliver building/maintenance activities and schedule to personnel, subcontractors, and material suppliers to effectively and efficiently execute targeted deadlines
  • Write, negotiate, and manage scope across multiple disciplines related to construction and facilities
  • Maintain interior office and factory cleanliness
  • Plan, set up, and execute events for VIPs, vendors, and internal staff
  • Recommend move plans and help with office relocations
  • Work with the purchasing department to ensure vendors are approved, vetted, and insured
  • Help support and manage campus services such as the bike program, laundry program, and office supplies
  • Assist with badging, ITAR, NDA requirements, and safety training
  • Create RFPOs, and assist the manager with furniture and vendor selection
  • Track purchase orders, weekly reports, and project schedules and statuses
  • Meet with key the company end users and establish the scope of work
  • Assist the facilities manager(s) in all aspects of project implementation as needed
BASIC QUALIFICATIONS:
  • Bachelor’s degree or 7+ years of experience in managing facilities vendors, contract management in lieu of a degree
  • 5+ years of experience in managing facilities vendors, contract management, or shipping and operational logistics
PREFERRED SKILLS AND EXPERIENCE:
  • Experience with managing commercial, office, or industrial facilities
  • Familiar with space planning procedures and operations
  • Knowledge of basic computer applications; ability to easily navigate through different computer software programs
  • Ability to create and update RFPOs and facilities work orders in an ERP software
  • Ability to work effectively in a team environment
  • Ability to make independent judgments with limited information
  • Strong communication skills for relaying data (verbally and in-writing) between other employees, vendors, and customers
  • Able to read and understand basic floor plans
ADDITIONAL REQUIREMENTS:
  • Able to work extended hours and/or weekends as needed
  • Must be able to lift up to 25 lbs unassisted
  • Standing for long periods of time, climbing up and down ladders, bending, grasping, sitting, pulling, pushing, stooping, and stretching may be required to perform the functions of this position
COMPENSATION AND BENEFITS:

Pay Range:Level 3: $115,000.00 - $160,000.00

Your actual level and base salary will be determined on a case-by-case basis and may vary based on the following considerations: job-related knowledge and skills, education, and experience.

Base salary is just one part of your total rewards package at the company. You may also be eligible for long-term incentives, in the form of company stock or long-term cash awards, as well as potential discretionary bonuses and the ability to purchase additional stock at a discount through an Employee Stock Purchase Plan.
