CBRE is seeking an administrative partner to support the Facilities Management leadership team across a large portfolio. You will help drive reporting, program administration, vendor coordination, and day-to-day business support for a distributed real estate portfolio in North America.

Join CBRE and support a global financial services client with an extensive corporate real estate portfolio spanning approximately 15 million square feet across the United States, Canada, Mexico, and South America. In this highly visible role, you will serve as a key administrative and operational partner to the Facilities Management leadership team, helping drive reporting, program administration, vendor coordination, and day-to-day business support across a large, geographically dispersed portfolio. No travel is required for this position.
Provide administrative and operational support to the Senior Facilities Manager and a team of 4 Regional Facilities Managers and 25 Facilities Managers.
Coordinate the preparation, review, and distribution of client-facing reports, dashboards, and presentations.
Assist with work order administration, data tracking, and performance reporting to ensure service delivery objectives are met.
Manage travel arrangements, expense reporting, calendars, meeting coordination, and other executive support activities.
Support the administration of client programs, initiatives, and portfolio-wide processes.
Maintain accurate records, documentation, invoices, proposals, and vendor-related files.
Collaborate with internal teams, service providers, and stakeholders to ensure timely communication and follow-through on key activities.
Help identify process improvement opportunities and support operational excellence across a large, multi-country real estate portfolio.
High School Diploma or GED required.
2+ years of experience in administrative support, facilities coordination, operations support, or a related field.
Strong proficiency with Microsoft Office applications, including Excel, Outlook, Word, and PowerPoint.
Excellent organizational skills with the ability to manage multiple priorities in a fast-paced environment.
Strong written and verbal communication skills with the focus on professionalism and customer service.
Ability to review data, prepare reports, and maintain a high level of accuracy and attention to detail.
Proven ability to work independently while supporting a large, distributed team.
Resourceful problem-solver with strong follow-through, discretion, and a collaborative mindset.
