Job summary

Fanatics Inc. is hiring for a payroll tax professional to lead multi-state filings, amendments, and year-end processing in a fast-paced environment. You will use Excel and AI tools to improve accuracy and efficiency, collaborating with HRIS and external vendors.

The role reports to the Manager, Payroll Tax and supports Canadian payroll where applicable. Strong analytical and communication skills are essential for success.

Qualifications

  • College degree preferred.
  • 5+ years of multi-state, multi-FEIN payroll tax experience in a fast-paced environment.
  • Experience with year-end payroll tax processing (W-2/W-2c).
  • Experience with ADP SmartCompliance and payroll tax amendments.
  • Experience with Oracle HCM or similar payroll system.

Responsibilities

  • Manage end-to-end payroll tax compliance across multiple states, localities and FEINs.
  • Process and resolve payroll tax amendments and agency notices.
  • Lead year-end payroll tax processing, including W-2 and W-2c prep, review and distribution.
  • Maintain compliance with federal, state, and local payroll tax laws and regulations.
  • Reconcile payroll tax liabilities, deposits, and filings across FEINs and jurisdictions.
  • Partner with HRIS/Payroll teams on Oracle HCM for tax setup and profiles.
  • Support mergers, acquisitions, and divestitures in tax due diligence and transition activities.
  • Use advanced Excel to analyze large payroll tax datasets and resolve discrepancies.
  • Leverage AI tools to streamline payroll tax research, reconciliation, and reporting.
  • Assist with Canada payroll tax compliance where applicable.

The Role

Leads multi-state, multi-FEIN payroll tax operations for a fast-paced, high-volume environment, ensuring accurate and timely tax filings, deposits, and reconciliations. The responsibilities include payroll tax compliance, amendments, year-end processing, W-2/W-2c preparation, and audit support. Our ideal candidate is a self-starter and team player with strong Excel skills and experience leveraging AI tools to improve accuracy and efficiency. This role reports to the Manager, Payroll Tax.

What You'll Do
  • Manage end-to-end payroll tax compliance across multiple states, localities, and FEINs, ensuring accurate and timely filings, deposits, and reconciliations
  • Process and resolve payroll tax amendments and agency notices in a timely manner, partnering with ADP SmartCompliance as needed
  • Lead year-end payroll tax processing, including W-2 and W-2c preparation, review, and distribution
  • Maintain compliance with the latest federal, state, and local payroll tax laws and regulations, proactively identifying and implementing required changes
  • Reconcile payroll tax liabilities, deposits, and filings across multiple FEINs and jurisdictions on a regular basis
  • Partner with HRIS/Payroll teams on Oracle HCM to ensure accurate tax setup, employee tax profiles, and system configurations
  • Support mergers, acquisitions, and divestitures, including pre- and post-close payroll tax due diligence, FEIN setup/consolidation, and tax transition activities
  • Utilize advanced Excel skills (VLOOKUP, pivot tables) to analyze large volumes of payroll tax data, identify discrepancies, and drive resolution
  • Leverage AI tools to streamline payroll tax research, reconciliation, and reporting processes
  • Demonstrate the ability to switch between competing priorities and tasks in a fast-paced, high-volume environment while maintaining accuracy and deadlines
  • Support all payroll tax related internal and external audits
  • Initiate and develop strong relationships with internal stakeholders and external tax agencies/vendors to ensure proper communication and resolution of payroll tax issues
  • Perform analysis of complex payroll tax transactions to identify root cause issues, assess risk, and implement mitigation plans
  • Assist with Canadian payroll tax compliance, where applicable
  • Perform special projects as assigned, such as tax jurisdiction setup, system testing/upgrades, and process improvement initiatives
What We're Looking For
  • College degree preferred
  • 5+ years of multi-state, multi-FEIN payroll tax experience in a fast-paced, high-volume environment
  • Demonstrated experience with year-end payroll tax processing, including W-2 and W-2c preparation
  • Experience with ADP SmartCompliance and payroll tax amendments required
  • Experience with Oracle HCM or a similar payroll system
  • Up to date knowledge of federal, state, and local payroll tax laws and regulations
  • Advanced Excel skills required, including VLOOKUP and pivot tables
  • Experience using AI tools to support payroll tax analysis and process efficiency
  • Prior experience with mergers, acquisitions, and divestitures (pre- and post-close payroll tax activities) preferred
  • Canadian payroll tax experience a plus
  • Strong analytical and problem-solving skills, as well as organizational skills
  • Ability to deliver results in a fast-paced environment with attention to detail and the ability to switch between tasks
  • Drive & self-motivation with the ability to work independently as a self-starter
  • Strong verbal and written communication skills and the ability to work collaboratively across teams and vendors
  • Professional, dependable, and able to maintain confidential information
  • APA Certification (CPP) is a plus
