We are seeking a skilled and experienced Senior Administrative Assistant to support the Chairman of the Department of Radiology. The role involves managing high-level administrative functions in a fast-paced, academic medical environment. The ideal candidate will possess excellent organizational skills, attention to detail, and the ability to handle multiple priorities professionally.

Roles and Responsibilities:

  1. Executive Support: Act as the primary contact for the Chairman, managing administrative tasks with professionalism and discretion. Provide strategic calendar, communication, and workflow management.
  2. Calendar and Meeting Management: Oversee a complex calendar, prioritize demands, and coordinate high-level meetings with institutional leaders, faculty, external partners, and organizations.
  3. Travel and Event Coordination: Arrange domestic and international travel, conference registration, and logistics. Process reimbursements accurately and promptly.
  4. Document and Presentation Preparation: Draft, edit, and proofread correspondence, reports, and presentations. Prepare meeting materials and ensure timely completion of tasks.
  5. Communication Liaison: Manage communications on behalf of the Chairman, respond to inquiries, and handle sensitive issues with discretion.
  6. Confidential Information Management: Handle confidential information responsibly, supporting faculty reviews, credentialing, and academic matters.
  7. Project Coordination: Assist with special projects, research collaborations, departmental reviews, and strategic planning.
  8. Budget and Finance Support: Monitor expenditures, support budgeting, process invoices, and liaise with finance staff.
  9. Team Collaboration: Collaborate with administrative staff across departments and mentor junior team members as needed.

Education and Experience:

High school diploma or GED with four years of administrative support experience. An Associate's degree in Secretarial Science is preferred.
