Qualifications

  • Minimum 5 years administrative experience.
  • High School Diploma or equivalent required; Bachelor’s Degree preferred.
  • Advanced proficiency with Microsoft Office; pivot tables in Excel.
  • Experience with Power BI preferred.
  • Excellent communication and presentation skills.
  • Ability to interact with diverse individuals at all levels.

Responsibilities

  • Coordinate complex schedules for the COO and Operations leadership team.
  • Manage travel arrangements and expense reporting for the COO.
  • Act as liaison between Operations and cross-functional partners like Winemaking, Supply Chain, Finance, HR, and Commercial.
  • Capture, distribute, and track meeting notes and action items.
  • Analyze operational data and prepare concise summaries for leaders.
  • Screen and direct calls and emails with professionalism.
  • Coordinate review and processing of contracts, invoices, and documents.
  • Monitor departmental projects and deadlines; follow up with stakeholders.

A Sr. Administrative Assistant job in Paterson, WA is available at Ste. Michelle Wine Estates (SMWE). The Sr. Admin Assistant serves as a key liaison across departments, ensuring effective communication, organization, and execution of day-to-day business activities and strategic initiatives.

Sr. Administrative Assistant job responsibilities include:
  • Coordinate complex schedules, meetings, and communications for the Chief Operating Officer and Operations leadership team, ensuring effective prioritization of competing business needs.
  • Manage all travel arrangements and associated expense reporting for the COO.
  • Serve as a key point of coordination between Operations leadership and cross-functional partners, including Winemaking, Supply Chain, Finance, HR, and Commercial teams.
  • Capture, distribute, and track meeting notes, action items, and follow-up activities to ensure timely completion of commitments.
  • Analyze operational and business data and prepare concise summaries for leaders.
  • Screen and direct phone calls, emails, and requests, exercising sound judgment and professionalism.
  • Coordinate the review, routing, and processing of contracts, invoices, and other business documents.
  • Monitor and track departmental projects, milestones, deliverables, and key deadlines, following up with stakeholders as needed.
  • Assist with the planning and coordination of department meetings, leadership events, site visits, and special projects.
  • Facilitate communication and information sharing across departments, helping ensure alignment and timely execution of priorities.
  • Identify opportunities to improve administrative processes and enhance team efficiency.
  • Provide administrative and project coordination support for special initiatives and other duties as assigned.
Position Requirements:
  • Minimum of 5 years administrative experience.
  • High School Diploma or equivalent required. Bachelor’s Degree in finance, accounting or other technical field preferred.
  • Advanced proficiency with Microsoft Office; specifically, experience creating and working with pivot tables in Excel.
  • Experience with Power BI preferred.
  • Ability and interest in analyzing data and extracting succinct insights that support leadership decision-making.

  • Excellent communication and presentation skills.
  • Ability to deal effectively with a diversity of individuals at all organizational levels.
  • Versatility, flexibility, and a willingness to work within constantly changing priorities with enthusiasm.

  • Must maintain high level of confidentiality.
  • History of responsible use of alcohol and other appropriate conduct, as well as fitness to be licensed, permitted, and/or certified by state and/or local regulatory bodies.
Your Compensation:

$26.54 - $34.54/hr. based upon relevant experience.
