Job summary

Takeda is seeking a Sponsorship and Congress Process and Logistics Coordinator to manage compliant execution and process administration for commercial sponsorship and exhibit requests. You will handle congress logistics in the U.S.

Foundational Therapeutic Platform BU and support related activities, ensuring accurate documentation and timely execution. The role emphasizes cross‑functional collaboration, process optimization, and training end users on system functionality.

Qualifications

• Bachelor’s degree or 3+ years of project management experience in cross-functional settings or executive coordination in a matrixed organization.
• 3+ years of project management or executive administration experience in a regulated industry.
• Proficiency with MS Word, Excel & PowerPoint, including advanced MS Outlook.
• Experience managing congresses or planning meetings is preferred.
• Prior compliance experience is helpful.

Responsibilities

• 75%: Support sponsorship activities by partnering with Sales, Legal/Compliance, Procurement, Finance, Analytics, and Agencies to operationally enable sponsorship and funding requests.
• Lead process execution, provide oversight, guidance, and training to stakeholders while ensuring adherence to policies and SOPs.
• Audit-focused responsibilities: document quality, respond to audits, and ensure proper archiving and follow-up on exceptions.
• Conduct systematic reviews of transactions to confirm document submissions, approvals, and proper handling of exceptions.
• Monitor process and system efficiency through reporting and feedback to drive improvements.
