As the primary POC for government and private grants, you will review RFPs, coordinate grant intake, and support post‑award administration across a portfolio of grants,

Responsibilities

  • Review the Request for Proposal (RFP) and meet with PI/PD to activate a roadmap to grant submission.
  • Coordinate Grant Intake Form, addendum preparation, coordinating legal review, obtaining approval, and authorized signatures.
  • Creates folders on a shared drive for grant applications and awards by year.
  • Liaises with Compliance, Legal, Accounting and IRB.
  • Monitor grant award budgets, expenditures and financial performance; support budget modifications and award actions.
  • Collaborate with teams across Atlantic Health including Finance and Accounting.
  • NIH Grants Administrator – main POC for NIH applications to grants.gov; stay abreast of changes and support from inception to NOA.

Job description

The Sponsored Projects Analyst III serves as a strategic partner to the Manager, Government and Research Grants to assist in many aspects of government and private research grants.This role performs the core functions of the grants office as institutional review and approval of all government and research administrative grant proposals for completeness prior to submission in order to secure external funding; ensures compliance with organizational or foundation standards; as a resource person with expert level understanding and applied knowledge, providing consultation, guidance, and direction to newly funded project teams; functioning independently and decisively at a high level of proficiency; serving as co-facilitator to prepare and conduct training and education sessions; and serving as a delegate to submit proposals to the sponsor. Maintains records of funding sources and grant applicants.

The Sponsored Project Analyst III performs as a primary resource to interpret and implement sponsor guidelines, federal and state regulations, along with institutional policies and procedures; provides oversight of the proposal development process to minimize the institutions compliance risk; communicates with sponsoring agencies; and keeps abreast of new developments in the field of research administration, pre award management, federal regulations, policies and procedures in order to serve as a Subject Matter Expert (SME) for information and guidance to institutional team members.

  • Serves as a guide and trainer to new project teams with little to no experience during the grant lifecycle

  • Serves as a resource for complex proposals including proposals with multiple collaborators

  • Acts as a point of contact for identifying online resources and provides information to facilitate the proposal development process; analyzes and resolves problems related to non-compliance during the preparation of the proposal.

  • Liaises with affiliated offices such as Compliance, Legal, Accounting and IRB

  • Provide post award administration and guidance for a portfolio of grants by interpreting award terms and sponsor requirements, coordinating project set up, and guiding project teams on compliance obligations.

  • Monitor grant award budgets, expenditures and financial performance.

  • Support budget modifications and award actions.

  • Collaborate with teams across Atlantic Health including Finance and Accounting.

  • Troubleshoots and responds to inquires related to agency systems/ electronic portals (e.g., eRA Commons, Grants.gov, Sam.gov, ProposalCentral, etc.)

  • Performs other work-related duties as assigned.

  • Prepares, tracks, and maintains sub-recipient monitoring forms and risk assessment of federal sub-awards.

  • Maintains grant awarded (as well as pending award) database by year.

  • Supports SAGE Administrator for SAGE membership as well as application completion and submission.

  • Subaward Reporting Administrator in SAM – report any subcontracts on Federal awards.

  • NIH Grants Administrator –Main POC for NIH applications to grants.gov.Must stay abreast of current changes and updates.Responsible for working with the PI/PD from inception to submission and then submission to NOA, for application completeness and accuracy.

  • Backup to Manager and SPA I as needed

  • General office support

  • Special projects as requested by theManager, Director, or VP ofResearch
