Sponsored Programs Officer I/II/III

Classification Minimum Requirements:

Level I: Bachelor’s degree in an appropriate area; or an equivalent combination of education and experience in research administration.

Level II: Bachelor’s degree in an appropriate area and two years of experience in sponsored program administration; or an equivalent combination of education and experience.

Level III: Bachelor’s degree in an appropriate area and three years of experience in sponsored program
administration; or an equivalent combination of education and experience.

Job Description:

The position is located within UF's Division of Sponsored Programs responsible for learning and facilitating a wide range of sponsored programs administration activities, primarily proposal submission on behalf of the University of Florida.

  • Coordinate and support faculty and staff in the preparation of proposals being submitted to federal, state, corporate, and other funding agencies.
  • Review proposals for accuracy and compliance with federal, state, university and sponsor regulations.
  • Ensure that university policies, such as the F&A Policy, Cost Sharing Policy, PI Status Policy, Effort Policy and others, are followed.
  • Review and analyze proposed budgets for compliance with guidelines; check budget details for accurate reflection of line items and proper indirect cost rates.
  • Learn and maintain knowledge with university and sponsor electronic research administration systems in order to ensure timely and compliant submission of proposals.
  • Act as a liaison between Principal Investigator (PI), campus administrators, agency officials, as well as federal, state, and local offices to resolve problems or issues that develop during course of proposal review; interacts closely with PI and their associates to provide technical assistance during the development process of proposals; and provides guidance to departmental staff, investigators, and research administrators on agency policy and requirements.

Required Qualifications:

Level I: Bachelor’s degree in an appropriate area; or an equivalent combination of education and
experience in research administration.

Level II: Bachelor’s degree in an appropriate area and two years of experience in sponsored program
administration; or an equivalent combination of education and experience.

Level III: Bachelor’s degree in an appropriate area and three years of experience in sponsored program
administration; or an equivalent combination of education and experience.

Preferred:

Level I: Facility to learn electronic research administration software preferred. In addition, skills required include: the ability to provide excellent customer service; excellent verbal and written communication skills;

  • ability to work independently and with others
  • ability to search out federal, sponsor and university policy and guidance and apply critical thinking skills to make effective decisions; negotiation skills;
  • ability to maintain positive and effective working relationships; effectiveness in use of electronic business applications with other systems; experience in the Microsoft Office suite; experience in PeopleSoft grants; experience at the University of Florida; and being a strong problem solver, seeking win-win answers.

Level II: At least three years of sponsored programs administration experience that demonstrates knowledge of federal policies governing the administration of grants, contracts, and cooperative agreements at educational institutions, including but not limited to the Federal Uniform Guidance, Federal Acquisition Regulations, Code of Federal Regulations, NIH Grants Policy Statement, NSF Grants Policy Manual, knowledge of contracting and regulations applicable to the University of Florida.

  • Ability to provide excellent customer service.
  • Ability to be an effective communicator verbally and in writing.
  • Ability to critically think and use good judgment.
  • Ability to establish and maintain effective working relationships.
  • Ability to interface with electronic business applications with other systems.
  • Ability to use with personal computers, Windows, Word, Access Database, Excel, UFIRST and myUFL Grants.

Level III: At least three years of sponsored research administration experience that demonstrates knowledge of federal policies governing the administration of grants, contracts, and cooperative agreements at educational institutions, including 2 CFR 200, Federal Acquisition Regulations, Code of Federal Regulations, NIH Grants Policy Statement, NSF Grants Policy Manual, and knowledge of State regulations applicable to the University of Florida.

  • Ability to provide excellent customer service.
  • Ability to be an effective communicator verbally and in writing.
  • Ability to critically think and use good judgment.
  • Ability to establish and maintain effective working relationships.
  • Ability to interface with electronic business applications with other systems.
  • Ability to use enterprise applications and various personal computing tools.
