Job summary

The Lake Superior Reserve at the University of Wisconsin–Madison Extension seeks a Research Administrative Specialist to coordinate and administer sponsored grants and agreements, establish new awards, and manage budgets.

The role collaborates with the Reserve director and program coordinators to support research, environmental monitoring, education, and stewardship through NOAA and other funding sources, aligning with UW–Madison policies.

Qualifications

  • Demonstrated strong communication skills, including clear written communications and translating policies and financial information.
  • Experience developing, tracking and managing budgets, including proficiency with Excel.
  • Ability to interpret and follow organizational policy and navigate financial procedures such as contracts and procurement.
  • Experience working as part of a collaborative team.

Responsibilities

  • Assists with management and coordination of select projects aligned with sponsored grants, agreements or awards.
  • Provides administrative support for the Reserve including coordinating facilities and fleet usage and maintenance, staff meetings, purchasing and coordination with partners.
  • Lead researchers in preparing and maintaining documentation, financial management, and reporting requirements related to sponsored grants, contracts or agreements.
  • Ensure compliance with grant, contract or agreement requirements and determine whether objectives are met.
  • Identify funding opportunities and disseminate to principal investigators.
  • Draft contracts or agreements for review and advise award setup, coordinating with researchers.
  • Maintain and monitor grants and contract budgets.
