Responsibilities

  • Assist account managers with sponsor assets and activation efforts to support attendance and the Show's mission.
  • Primary contact for daily activation partners and assist Fulfillment Manager with activations and contractual obligations.
  • Plan and execute annual Sponsor events and the Sponsor Summit, coordinating sponsor presentations and agendas.
  • Lead planning and execution of the Rodeo Acts of Kindness program with sponsor participation and communications.
  • Coordinate delivery of Sponsor assets with department teammates; provide outstanding client service to sponsors and guests.
  • Support department operations, maintain records, and assist with reporting to ensure successful show objectives.

Full-time Regular Admin Support Houston, Houston, TX, US

SUMMARY

Responsible for assisting the Sponsorship Department with ensuring the delivery of contractual elements, providing excellent client service, and managing a detail-oriented tracking system for designated sponsor assets. This includes developing and executing activation plans, program and event management, and assist with department operations.. They will manage relationships with a variety of internal and external stakeholders.

ESSENTIAL DUTIES AND RESPONSIBILITIES

include but are not limited to the following:

  • Assist the account managers with dedicated sponsor assets. These efforts, while benefiting the sponsoring company, also help drive and increase annual Show attendance and promote the Show’s Mission.
  • Primary contact for daily activation partners and assist the Fulfillment Manager with full show activations. Providing excellent customer service and fulfilling their contractual obligations.
  • Planning and execution of annual Sponsor events. Planning and execution of the annual Sponsor Summit, including soliciting Sponsor presentations and working with presenters on the agenda and sponsor engagement.
  • Lead the planning and execution of the Rodeo Acts of Kindness program by coordinating sponsor participation, assigning event dates, reviewing activation plans and promotional materials, managing volunteer credentialing, facilitating sponsor communications, and delivering a positive community engagement experience for sponsors and guests.
  • Works directly with lead account managers, staff coordinators and committees to provide sponsor and attendees with the best experience at Rodeo Run, Rodeo Roundup, Scholarship Picnic and Downtown Parade.
  • Provide sales support to the Sponsorship Department by evaluating market and brand research and generating new inventory ideas and concepts through collaboration with internal and external stakeholders.
  • Maintain communication with internal and external stakeholders to promote a high degree of interest, involvement and enthusiasm for the success of Rodeo sponsors and the Sponsorship Department.
  • Plan and organize Sponsor networking lunches, special events and occasions to fulfill contractual obligations.
  • Support department operations and organization through maintaining accurate records, coordinating internal processes, managing timelines, organizing departmental resources, assisting with reporting and documentation, and providing support to ensure successful execution of show objectives.
  • Coordinate delivery of Sponsor assets with other members of the department.
  • Provide outstanding client service to sponsors and guests throughout the year.
  • Be a team player and contribute to the general success of the Houston Livestock Show and Rodeo across all facets, including helping all team members.
  • Other duties and responsibilities as requested or required.
QUALIFICATIONS

EDUCATION and/or EXPERIENCE

Bachelor's degree or equivalent in business administration, sports management, communications, marketing or advertising; or at least three years related experience and/or training in sponsorship, event logistics and special event coordination; or equivalent combination of education and experience. Must have a demonstrated and recognized ability to work at the highest levels with advertising and marketing representatives, corporate executives and marketing partners. Must have the ability to build and nurture business relationships, both internally and externally.

LANGUAGE SKILLS

Ability to read, analyze, and interpret general business periodicals, professional journals, and technical procedures. Ability to write reports, business correspondence, and procedure manuals. Ability to effectively present information and respond to questions from groups of managers, clients, customers, and the general public.

OTHER SKILLS AND ABILITIES

Must have ability to manage tasks at a high level of proficiency and to utilize state of the art information, presentation and processing technology. Requires expert skills in Microsoft applications including Access, Excel, Outlook, PowerPoint and Word. Requires strong accounting and organizational skills, ability to prioritize and manage multiple tasks simultaneously. Requires excellent telephone and written/oral communication skills. Able to plan and execute projects.
