Job summary

Gwinnett Technical College is seeking a Purchasing Specialist to support the business office by creating requisitions and finalizing purchase orders in a state-wide accounting environment. The role reports to the Executive Director of Accounting and is full-time with benefits.

Under general supervision, the specialist assists with daily workload, contracts, reporting, and training staff on purchasing rules and systems, while maintaining accuracy and efficiency in procurement processes.

Qualifications

• Associate degree or equivalent with 3 years related work experience.
• High school diploma or equivalent with 3 years related work experience.
• Experience with state purchasing policies and procedures is preferred.

Responsibilities

• Creates purchase requisitions and finalizes purchase orders in a computerized system.
• Creates, manages, and renews contracts per state law and regulations.
• Communicates with faculty and staff regarding purchase orders; trains staff on rules and systems.
• Completes training with DAS to obtain purchasing certifications as required.
• Prepares reports for various state agencies and maintains spreadsheets/analysis.
• Assists business office staff with daily duties and special projects.
• Performs additional duties to support Gwinnett Technical College objectives.

This job is a Full time, benefited, FLSA Exempt position in the Administrative Services Division that reports to the Executive Director of Accounting.

Minimum Qualifications

An Associate’s degree or equivalent *and* Three (3) years of related work experience

Preferred Qualifications

• In addition to the minimum qualifications, a two-year degree from a technical college.
• Working knowledge of State of Georgia and Gwinnett Technical College purchasing policies and procedures.
• Experience using PeopleSoft accounting system.
• A diploma from a postsecondary institution in a business field.
• Accurate 10-key skills.
• Working knowledge of Excel.
• Good organizational skills and works well independently.

Job Description Summary

Under general supervision, the Purchasing Specialist assists the business office staff with daily workload and special projects as identified and assigned. Duties/Responsibilities

• Creates purchase requisitions and finalizes purchase orders in computerized accounting system. (55%)
• Creates, manages, and renews contracts in accordance with state law and regulations. (5%)
• Communicates with faculty and staff related to purchase orders, as needed. This includes training new staff on purchasing rules, navigating the purchasing system, and how to find answers to various purchasing questions. (15%)
• Completes training with Department of Administrative Services as required to receive/maintain purchasing certifications. (5%)
• Completes reporting requirements in accordance with various state agencies. (5%)
• Prepares spreadsheets and analysis as required. (5%)
• Assists business office staff with daily duties as assigned. (5%)
• Performs other duties as assigned in the fulfillment of the needs, philosophy, and purpose of Gwinnett Technical College. (5%)
