We are looking for a Special Hazards Inside Sales Representative / Assistant Project Manager (APM) to join our Special Hazards team. This role is ideal for someone who enjoys a combination of sales, customer service, estimating, and project coordination and wants to be involved throughout the lifecycle of a project.
What You'll Do
Sales & Customer Support
- Qualify leads and opportunities in partnership with customers, technicians, and Outside Sales Representatives.
- Identify and develop sales opportunities resulting from deficiencies discovered during inspections and service visits.
- Prepare service estimates and proposals, including labor, vendor materials, and subcontractor costs.
- Develop proposals for:
- Repair and replacement work
- Preventive Maintenance Agreements
- Quote letters
- Capital expenditure and budget pricing
- Create and deliver proposals to customers in support of the Outside Sales team.
- Manage unassigned accounts and develop opportunities as they arise.
- Assist Outside Sales Representatives with building and maintaining strong customer relationships.
- Communicate with customers by phone, email, and virtual communication platforms.
Project & Service Coordination
- Coordinate job walks and pre-bid meetings with operations teams.
- Assist with coordinating repairs and service activities.
- Visit technicians at jobsites to better understand site layouts, equipment, and service processes.
- Assist with material and equipment procurement.
- Coordinate equipment deliveries, warehouse activities, and subcontractors.
- Solicit vendor and subcontractor pricing for materials and equipment, including cylinders, panels, releasing systems, and other Special Hazards components.
- Assist with preparing finalized inspection reports for customers and tracking identified deficiencies.
- Upload inspection reports into the Compliance Engine as required by the Authority Having Jurisdiction (AHJ).
Project Management Support
- Support Project Managers throughout the project lifecycle, including:
- Providing product data submittals in accordance with project specifications.
- Preparing and uploading stamped shop drawings and coordination drawings for end users and General Contractors.
- Assisting with change orders.
- Attending weekly and monthly project meetings as needed.
- Assisting with permit applications.
- Preparing required test certificates.
- Providing O&M manuals, closeout documentation, and final affidavits at project completion.
- Assisting with project turnover from Sales to Operations.
What We're Looking For
- Associate degree, business school certificate, or equivalent related experience.
- 2-4 years of experience in sales, project coordination, assistant project management, or a related field.
- Experience in the fire protection, Special Hazards, mechanical, construction, or service industries is a plus.
- Highly organized and detail-oriented, with the ability to manage multiple priorities simultaneously.
- Strong problem-solving and decision-making skills.
- Ability to transition effectively between sales, customer service, estimating, and project management responsibilities.
- Strong written and verbal communication skills, with the ability to work effectively with customers, technicians, subcontractors, vendors, and internal teams.
- Strong time management skills and the ability to meet deadlines.
- Positive, professional, and customer-focused attitude.
- Ability to prioritize and work effectively in a fast-paced environment.
- Proficiency with Microsoft Word, Excel, and Outlook.
- Ability and willingness to learn industry-specific software and applications used to prepare proposals, reports, and project documentation.
- Experience with database or project management systems is preferred.
