Qualifications

Responsibilities

  • Coordinate logistics for events including accommodation, transportation, catering, signage, and security.
  • Support planning and execution of events and programs across sites.
  • Arrange facilities, contracts, insurance, transportation, meals, and travel itineraries for trips and corporate projects.
  • Develop and implement event ideas and artistic contributions for staff and sponsor events.
  • Maintain relationships across departments and serve as a point of contact for event-related inquiries.
  • Track and generate event reports and assist in process improvement initiatives.

The Special Events Technician maintains ongoing positive relationships with internal and external customers. This position will perform general office support, including data entry and filing. This position reports directly to the Operations Services Manager.RESPONSIBILITIES/DUTIESThis list is illustrative only and is not intended to be a comprehensive list of tasks performed by this classification. Reasonable accommodations may be made to enable individuals with disabilities to perform the essential functions of the job.Coordinate logistics and services for events, such as accommodation and transportation for participants, facilities, catering, signage, displays, special needs requirements, printing, and event security.Support the planning and implementation of the Organization's events and programs.Assist and secure, arrange, and prepare location facilities, contracts, insurance, transportation, meals/catering, excursions, and travel itineraries for in and out-of-state trips and corporate projects, programs, and events.Assist in developing, designing, and implementing event ideas, including artistic contributions for major staff events such as student events, corporate events, and other organizations-sponsored events.Liaison across organizational departments on the development and implementation of programs, projects, events, and activities with site support staff.Maintain an excellent working relationship across all departments while acting as a point of contact between all departments.Track and create special events reports, compile reports, charts, or graphs, and submit them to management.Participate in team meetings and propose opportunities to improve, streamline, automate, and document processes, focusing on enhancing the participant experience of programs and projects.Provide support to the special events department to assist internal and external customers with requests and questions regarding student events, special events, and other organizations-sponsored events.Maintain, update, and ensure employee data accuracy in organization systems and personnel files.Perform administrative duties, responsibilities, and activities as assigned. These may be changed or modified from time to time.KNOWLEDGE, SKILLS, ABILITIESAbility to read, understand information, and carry out oral and written directions.Ability to meet schedules and timelines.Ability to work in team environments and with multiple levels of personnel.Ability to arrange things or actions in a particular order or pattern according to a specific rule or set of rules.Ability to work in a high-volume and fast-paced environment.Ability to perform data entry and maintain records correctly.Ability to establish and maintain positive and productive working relationships.MINIMUM QUALIFICATIONSHigh School Diploma or General Education Diploma required.1-2 years of related experience in Corporate or Special Events and industry training is required.1-2 years of experience in a professional business setting, including interfacing with the public, is preferred.Proficient skills in MS Office (Word, Excel, PowerPoint, Outlook) and other technology applications.Ability to work possible evenings or weekends on occasion.Ability to travel in the performance of job duties is required.Ability to lift, carry, push, and pull objects weighing up to 25 pounds.PHYSICAL REQUIREMENTSMental Demands: high workflow management, high project coordination, high people engagement.Finger Dexterity: primarily using the fingers to make small movements such as typing, picking up small objects, or pinching fingers together.Talking: especially where one must accurately, loudly, or quickly convey detailed or important instructions or ideas.Average Hearing: hearing average conversations and receiving ordinary information.Average Visual Abilities: ordinary acuity necessary to prepare or inspect documents and operate office equipment or machinery.Frequent multi-tasking, changing of task priorities, repetitious exacting work required.Prolonged periods sitting at a desk and working on a computer.Working in a low to moderate noise environment with frequent deadline pressures.
