UChicago Medicine seeks an experienced Special Events AV Lead to manage the Special Events Services group on-site at Hyde Park, Chicago. You will set standards for operations, oversee equipment setup/teardown, and ensure exceptional customer service for faculty and staff.

Responsibilities

This is an on-site position that will be based primarily at our Hyde Park location in Chicago, IL.

Role Summary

Leads the Special Events Services group by setting an example for excellent customer service and assists the other support staff. Provides all types of audio/visual services, coordinates special events, and provides support to University of Chicago Medical Center, which includes faculty and other UCMC staff. Handles equipment set-ups/ teardowns and maintenance of equipment. Assists faculty and other support areas in problem solving equipment malfunctions. Assists with writing special events proposals, billing, and invoicing. Also, leads the Special Events Services by creating schedules and setting standards for operation and customer satisfaction; monitors/assesses the department's progress, and works to continually exceed customers' expectations.

Essential Job Functions

• Responsible for managing support tickets for Windows and Macintosh software/applications and hardware.
• Operates all audio/visual equipment in UCMC to assist staff, faculty, and clients.
• Develops and maintains relationships and good communication with all staff and faculty in academic programs.
• Manages the scheduling process of audio/visual equipment in conjunction with the academic programs throughout the year.
• Maintains daily logs for set-ups/teardowns, faculty requests, videotaping requests, and equipment usage and labor hours.
• Tests, set up and breakdown all audio/visual equipment used each day.
• Responds quickly to last-minute requests by faculty and staff.
• Maintains accurate records of equipment inventory.
• Troubleshoots any equipment malfunctions immediately to remedy any problem before it affects programs adversely.
• Recommends, on an ongoing basis, equipment upgrades and additions to current inventory that would benefit all UCMC clients.
• Assists in preparing client proposals for A/V and Special Events at UCMC.
• Creates and maintains schedules for all Special Events and A/V requests for services or rentals.
• Perform minor repairs on equipment.
• Assumes leadership role within department and UCMC by leading by example and setting standards for customers.

Required Qualifications

• Associate or bachelor's degree in related technical area or technical training/experience equivalent
• applications, networking topology and wireless infrastructure as well as
• Associate’s degree and/or direct industrial video experience from a technical school
• Minimum 5 years’ experience in audio/visual communications or similar technical experience
• Demonstrated experience in leading a team in a customer-service, oriented position
• Ability to work independently and complete projects by set deadlines
• Excellent verbal and written communication skills, and organizational skills
• Ability to interact with faculty, staff, and students in a professional, courteous manner
• Ability to troubleshoot problems quickly and effectively required; flexibility to work additional hours as requested
• Ability to handle multiple concurrent tasks in a competent and professional manner in a fast-paced environment
• Experience with a broad range of computer software, including LAN, Windows operating system, and digital video editing software required.

Preferred Qualifications

• Bachelor's degree and/or direct industrial video experience from a technical school
• Experience with Crestron, Extron and/or AMX control systems
• AVIXA CTS certification (CTS-I or CTS-D a plus)
• Dante Level 1/2, Q-SYS, Crestron, or Biamp certification
• ITIL Foundations or comparable service-management training
• Experience with AV-over-IP, NDI, or Dante audio networking
• Familiarity with DSP configuration (Biamp, QSC, Shure)
• Experience supporting videoconference room systems (Zoom Rooms, Microsoft Teams Rooms, Cisco/Webex, Poly)
• Working knowledge of digital signage platforms
• Prior A/V experience in a hospital, academic medical center, or higher education setting
• Familiarity with supporting CME or accredited academic programming, including recording and archiving lectures
• Awareness of HIPAA and patient-privacy considerations when recording or streaming in clinical spaces
• Experience with ticketing/ITSM platforms (ServiceNow, Jira Service Management)
• Experience with event management or room scheduling software (EMS, Aventri, Cvent, 25Live)

The pay range is based on a full-time equivalent (1.0 FTE) and is reflective of current market data, reviewed on an annual basis. Compensation offered at the time of hire will vary based on candidate qualifications and experience and organizational considerations, such as internal equity. Pay ranges for employees subject to Collective Bargaining Agreements are negotiated by the medical center and their respective union.
