Job summary

Planned Parenthood of the Rocky Mountains is seeking a Special Events Coordinator in Denver, CO. The role supports abortion care through event planning, donor engagement, and fundraising initiatives within a fast-paced team environment.

You will manage end-to-end events, from concept to execution, coordinate vendors and sponsors, and leverage donor databases to optimize outreach and stewardship efforts. A baseline of 1–3 years in event coordination is expected.

Responsibilities

What You'll Do:

Special Events Coordination: You're involved in every aspect of special events, from concept to execution. You are driven to conceive of, plan and organize, and then execute outstanding events that move us ever closer to our collective fundraising goals. Though most of your time goes to the details and logistics of successful events, you can zoom out and analyze the efficacy of different approaches and strategies, honing our efforts and building on strengths to help ensure we grow and improve our efforts ongoing.

Your days will be filled with timeline management, vendor relations, logistical planning, speaker, and stakeholder relationship communication and/or management, sponsor engagement, and event execution. You will assist the team with ideas and skills through creation and implementation of fundraising and event stewardship and cultivation strategies. Because development is a relationship-based field, staff will be in office together one day a week. You may attend meetings and events before and after business hours and may work some evenings and weekends. You will travel throughout our affiliate region occasionally. This position is based in Denver, CO. To do this, you will:

  • Meet fiscal year event goals, including money raised, for PPRM across the affiliate. Assist in development and implementation of regional event plan to achieve short- and long-term development goals.
  • Develop and implement annual and long-term strategies for special events including stewardship events and revenue generating events to diversify PPRM's donor base and identify annual and major donors. Although the Colorado-based position focuses on Colorado events, the work is not limited to Colorado events.
  • Partner with volunteer and other PPRM departments to recruit, coordinate, and oversee volunteers for events; act as liaison between committee volunteers and other staff.
  • Identify, solicit, and coordinate event speakers, sponsors, and supporters.
  • Work with internal/external partners on production of event materials, including but not limited to, venue, catering, entertainment, print and online materials, invitations, programs, and various event collateral.
  • Obtain, evaluate, make recommendations and process vendor proposals as appropriate and using an eye toward equity.
  • Lead or assist on-site management of event logistics including security, contractors, vendors, et al. This position will sometimes lead a particular event and will sometimes assist the Event Lead, depending on staff capacity, need, and other factors.
  • Utilize donor database to track event attendance, create lists, and execute follow up plans.
  • Coordinate with PPRM marketing and communications staff for all event social media presence, keeping information up to date in order to encourage event attendance.
  • Conduct evaluation and analysis processes to measure the success and efficacy of both fundraising and stewardship events.
  • Grow and build on existing events and identify new event opportunities.
  • Manage the Supporter-Hosted-Event program and accompanying resources.

Support Team-Wide and Agency Efforts: You’re a key contributor to a high-functioning team, ready to jump in where your skills and capacity can move our collective work forward. You are flexible and have a can-do spirit and attitude about your work. To do this, you will:

  • Advocate for technology solutions as appropriate and keep abreast of emerging technologies.
  • Work with Development team members to create and adhere to event strategy and annual budget.
  • Support the Manager of Special Events & Stewardship, Director of Donor Relations and Operations, and other Development teammates to achieve desired fundraising goals.
  • Supports agency-wide objectives through but not limited to visibility at internal and external events, and by participating on task forces, committees, and engagement with external partners.

Salary Range: $25.28 - $30.19
*Although our full pay range is included above, the budgeted hiring range for new hires is $25.28 - $27.73/hour and based on related professional experience

Schedule: ~37.5 hours/week; Candidates must be able to work a flexible schedule including early mornings, evenings and weekends as needed.
