Job Description
The Special Assistant (SA) will provide support to a federal division responsible for reviewing and tracking incident reports and notifying government stakeholders. The SA supports by assisting division directors and federal supervisors with daily operations and special projects. The SA provides analytical and coordinative services to the Division Chief and staff, assures coordination of management initiatives, special projects, and daily activities for field operations.
Position Duties
- Project Support: Support the implementation of new initiatives and special projects. Provide project support for system processes, policy updates, and program improvement initiatives. Track action items from meetings and assist division leadership with follow-up and documentation. Provide support as needed for ongoing engagements and interactions that involve external divisions and other stakeholders.
- Workflow and Communications Support: Track changes in policies, guidance, and operational procedures and communicate updates to division stakeholders to promote alignment. Serve as the central point for coordinating internal deadlines and reminders. Track and maintain streamlined communications, tasking, and priorities across the division. Develop and implement systems that promote coordination and communication within the division and with external stakeholders.
- Analytical and Reporting Support: Compile and analyze division trends and operational metrics to identify gaps, bottlenecks, and opportunities for improvement. Develop, compile, review, and edit periodic and ad-hoc reports.
- Records Management, Operational, and Administrative Support: Maintain division records, shared drives, templates, SOPs, and other documentation to ensure information is current and accessible. Provides general administrative support as requested. Other duties as assigned.
Qualifications
- Requires a BA/BS degree in a related discipline and at least three years of relevant experience.
- Excellent organizational skills and attention to detail.
- Experience with Microsoft Office suite, including Outlook and Excel.
- Excellent written and verbal communication skills.
- Experience providing administrative, operational, or programmatic support in a fast-paced environment.
- Experience working with immigrant or refugee populations and anti-trafficking programs preferred.

This position requires an existingMBI T2 Public Trustor the ability to obtain one. This position is 100% remote.
Benefits and Compensation
The likely salary range for this position is $61,625 - $83,375. This is not, however, a guarantee of compensation or salary. Rather, salary will be set based on experience, geographic location and possibly contractual requirements and could fall outside of this range.
