Role & Responsibilities

The Spa Supervisor is the face of The Spa at Flying Horse, responsible for ensuring guests have positive and memorable experiences. This role oversees all reception area employees, manages retail stock and displays, and assists the Spa Manager with daily operations. The ideal candidate must demonstrate professionalism, excellent customer service, and attention to detail.

  • Assist the Spa Manager with daily oversight of assigned areas.
  • Lead front desk employees following company policies and procedures.
  • Handle hiring, onboarding, scheduling, and training of front desk staff.
  • Work independently at the front desk with minimal supervision.
  • Maintain organization of locker rooms and relaxation areas.
  • Ensure reception area cleanliness and organization.
  • Review daily service chits.
  • Assist with client feedback and areas for improvement.
  • Manage front desk team and daily schedule.
  • Work in scheduled ratios at the Front Desk.
  • Foster a respectful, inclusive team environment.
  • Monitor staff morale and address concerns.
  • Communicate via Slack for updates and recognition.
  • Participate in interviewing, training, mentoring, and disciplinary actions.
  • Coordinate monthly service promotions and product discounts.
  • Collaborate with department leads to ensure spa functionality.
  • Ensure staff are in uniform, including name tags.
  • Oversee retail inventory, report bi-weekly, and monitor stock levels.
  • Input products into JONAS system and research new display products.
  • Build clientele through marketing tools and business cards.
  • Availability to work weekends and holidays.
  • Supervise front desk duties such as guest greeting, phone answering, and checkout.
  • Resolve employee and guest issues as moderator.
  • Assist with escalated guest complaints and staff issues.
  • Troubleshoot POS and software issues (mindbody, JONAS, Asset Essentials).
  • Review appointment schedules and provider availability.
  • Contribute to workplace efficiency strategies.
  • Stay informed on marketing initiatives.
  • Track KPIs and review progress regularly.
  • Conduct physical inspections of the spa and retail areas.
  • Complete work orders and conduct weekly inventory counts.
  • Summarize weekly spa activities via email.
  • Meet regularly with Spa Manager for feedback and improvements.
  • Attend leadership meetings and communicate staff morale.
  • Post updates and shout-outs on Slack.
  • Perform other duties as instructed by management.
Qualifications

Qualifications & Educational Requirements: One year of experience in a spa environment is required, with three years in a supervisory or managerial role and one year in customer service or hospitality. Must be detail-oriented, organized, and proficient with computers (Excel, Word, PowerPoint).

Strong customer service and communication skills are essential, along with tact and diplomacy in dealing with members and staff. Ability to work under deadlines, independently, and as part of a team is necessary.
