Qualifications

  • Bachelor's degree in supply chain, logistics, business, information systems, or a related field.
  • 3+ years of experience in logistics environment and project management.
  • Strong knowledge of inventory control and WMS systems.
  • Proficiency in Microsoft Excel; experience with ERP/WMS systems preferred.

Responsibilities

  • Maintain accurate inventory records in ERP/WMS systems by updating daily transactions (receiving, shipping, adjustments).
  • Cross-check inventory data between internal systems and 3PL reports.
  • Coordinate and monitor cycle counts conducted by 3PL partners.
  • Investigate inventory variances by reviewing transaction history and root causes.
  • Track damaged, missing, or defective inventory and coordinate disposition.
  • Communicate with 3PL partners regarding discrepancies and status updates.
  • Prepare and maintain inventory tracking reports and update internal files.
  • Monitor inbound, outbound, and internal inventory movements.
  • Follow established SOPs and ensure proper documentation.

Job description

The Inventory Coordinator is responsible for maintaining accurate inventory records, ensuring alignment between internal systems and third-party logistics (3PL) providers, and supporting overall inventory control operations. This role plays a critical part in ensuring inventory accuracy, operational efficiency, and smooth order fulfillment.

Essential Duties and Responsibilities
Inventory Accuracy Maintenance
  • Maintain accurate inventory records in ERP/WMS systems by updating daily transactions (receiving, shipping, adjustments)
  • Cross-check inventory data between internal systems and 3PL reports
  • Ensure timely and accurate system updates
Inventory Reconciliation
  • Perform regular reconciliation between company inventory records and 3PL data
  • Identify discrepancies in quantity, SKU, or location
  • Prepare reconciliation reports and elevate variances for resolution
Cycle Count Coordination
  • Coordinate and monitor cycle counts conducted by 3PL partners
  • Provide clear instructions on SKU scope, locations, and timing
  • Review count results and highlight discrepancies
Discrepancy Investigation
  • Investigate inventory variances by reviewing transaction history (receipts, shipments, adjustments)
  • Work with warehouse/3PL teams to identify root causes
  • Support corrective actions to prevent recurrence
Damaged / Defective Inventory Control
  • Track and record damaged, missing, or defective inventory
  • Monitor reasons for damage and maintain proper documentation
  • Coordinate with relevant teams on disposition (hold, return, disposal, or claims)
3PL Coordination & Follow-up
  • Communicate with 3PL partners regarding inventory discrepancies, adjustments, and status updates
  • Follow up on open issues to ensure timely resolution
  • Ensure 3PL adherence to inventory control procedures
Inventory Issue Resolution (Order Impact)
  • Support troubleshooting of inventory-related issues affecting order processing and fulfillment
  • Verify stock availability, allocation, and location accuracy
  • Coordinate with cross teams to resolve issues promptly
Inventory Reporting
  • Prepare and maintain inventory tracking reports (e.g., discrepancies, adjustments, damaged stock)
  • Update internal tracking files and provide regular status updates
  • Identify and elevate unusual trends or risks
Inventory Movement Monitoring
  • Track inbound, outbound, and internal inventory movements
  • Monitor stock levels and flag slow-moving or excess inventory
  • Support efforts to maintain healthy inventory turnover
SOP Compliance
  • Follow established inventory control procedures and guidelines
  • Ensure all activities are properly documented and compliant
  • Escalate any process deviations or control gaps
Required Qualification:
Years of Education
  • Bachelor’s degree in supply chain, Logistics, Business, Information Systems, or a related field
Work Experience
  • 3+ years of experience in logistics environment and project management
  • Strong knowledge of inventory control and WMS systems
  • Basic knowledge of inventory processes is a plus
  • Proficiency in Microsoft Excel; experience with ERP/WMS systems preferred
Knowledge and Skills
  • Expert in the delivery and evaluation of logistics supply chain and trade compliance
  • Proactive and have the ability to work well independently as well as in a team environment
  • Work well with cross functional teams
  • Strong ownership and organization skills
  • Proven skills with MS Visio and MS Excel in order to successfully execute projects
  • Ability to work confidently in a rapidly changing, fast-paced and results-oriented corporate environment where a high degree of flexibility is required
  • Ability to exercise considerable judgment and discretion in establishing and maintaining strong partnering relationships with internal and external customers
  • Excellent written and verbal communication skills in English
Preferred Qualifications:
  • Background in logistics and supply chain management
  • Ability to plan and prioritize work
  • Must be highly organized and able to manage multiple responsibilities
  • Model leadership behaviors supporting integrity, valuing diversity, innovation, building relationships, customer focus and teamwork
  • Software skills, including use of Microsoft Office software and web-based applications.
  • Verbal and written communication skills are necessary to explain complex and/or confidential information.
Working Conditions:
  • Office / 3PL Warehouse environment
  • Requires sitting, operating a computer keyboard, telephone and other office equipment for extended periods of time
  • Travel Domestic may require

*Job functions are subject to change at any time. $22-$27 hourly is the estimated pay range for this role working in City of Industsry, California office. The final amount will be determined based on qualifications & experience of the candidate relative to the role.
