Reporting to the Program Manager, the Site Coordinator is responsible for the daily operation of the After-School All-Stars Tampa Bay (ASAS TB) afterschool program and/or summer program. Responsibilities include, but are not limited to, program leadership, overseeing site personnel and program staff, coaching, professional development and training, planning, consistent monitoring of programs, daily student attendance tracking, and general program operation to ensure the educational, behavioral, and funder objectives of the program are met. Also ensures the needs of youth, staff, school, partner, and family needs are met.
Essential Functions:
PROGRAM OPERATIONS
- Plans, organizes, coordinates, and supervises all activities and services offered at designated ASAS TB program site.
- Sustain effective program planning throughout the year that includes session planning, curriculum development, developing student class selections, ensuring alignment with core program initiatives.
- Responsible for the accurate and timely reporting of individual ASAS TB site staff and program scheduling, payroll, inventory, and youth attendance.
- Provides day-to-day oversight of programs and staff. Coordinates with administration, program staff, students, school/community center administration in the effective execution of facility use, program scheduling, and collaboration of services.
- Acquire and coordinate program equipment, materials, facilities, and supplies. Maintain site inventory.
- Monitor student behavior on site during program hours. Utilize appropriate positive discipline measures as necessary.
- Develops, implements, and monitors programming per ASAS National Initiatives and ensures adherence to ASAS TB program goals and objectives at program site.
- Monitors and ensures the safety and security of ASAS TB program and facility.
- Ensures effective management of program finances and maintains fiscal accountability at ASAS TB program site.
- Maintain student participation and attendance throughout the year via recruitment and retention activities, including student voice and choice engagement strategies.
- Meet or exceed Average Daily Attendance (ADA) goals throughout the year.
- Maintain and forward fiscal data, including receipts, timesheets, supply/material requests, evaluations, attendance data, and reports to the Program Manager per established procedures and timelines.
- Ensure expectations relating to grant objectives are met.
- Complete all required reports and submit them by the assigned due dates.
- Ensure that student records and attendance data are maintained accurately.
- Maintain daily data input for attendance using Cityspan and ensure that student records and attendance data are maintained accurately.
- Attend professional development activities and meetings provided by ASAS TB.
PROGRAM QUALITY
- Oversee and provide leadership and guidance to an afterschool/summer program site.
- Maintain an inviting, safe, and orderly environment.
- Maintain a clear and consistent line of communication with program staff, school administration, staff, partners, and parents.
- Grow and enhance quality out of school programming at program site.
- Develop schedules that incorporate student interests as well as required curricula.
- Maintain effective communication with school liaison and develop school partnership. Ensure the afterschool/summer program meets school needs.
- Meet or exceed Average Daily Attendance (ADA) goals throughout the year via student recruitment and retention activities, including student voice and choice engagement strategies.
- In In coordination with the Program Manager, implement Youth Program Quality Assessment (YPQA) at school site.
STAFF DEVELOPMENT
- Provide day-to-day oversight of programs and afterschool staff through consistent staff observation.
- Conduct regular staff meetings with site staff team, Teachers and Program Leads. Develop site training, planning schedules, meeting agenda, and minutes.
- Attend, and assist with development and delivery of professional development, training activities, and staff meetings.
- Ensure that Teachers and Program Leaders are developing high-quality programming by collecting and reviewing lesson plans for content and effective planning.
- Review performance of teachers and provide suggestions, demonstrations, and assistance for improvement, as needed.
LEADERSHIP
- Monitor student behavior on site during program hours and utilize appropriate discipline measures, as necessary.
- Respond to inquiries from parents and students regarding program offerings, attendance, policies, and registration procedures.
- Develops community resources and seeks out new opportunities for program partnerships.
- Research and align effective program partnerships and collaborations to ensure that partner expectations are met.
- Manage program showcases, special events, culminating events and family nights.
- Travel occasionally to off-site meetings, trainings, and events.
- Maintain an open line of communication with school day teachers and faculty.
- Perform other duties as assigned.
QUALIFICATIONS
Education/Experience
- An Associate’s Degree (AA/AS) or 60+ college credit hours in child development, human services, recreation, or similar field is required.
- A minimum of 1-2 years direct experience working with youth in an afterschool program, summer camp, tutoring, recreation program, community center, etc., is required.
- 1 year of prior demonstrated supervisory (ie., leading a team of group leaders) experience is required.
- Working knowledge of the principles and methods of afterschool and summer program planning and curriculum is preferred.
- First Aid and CPR/AED certifications required (or obtained within 90 days of hire).
Mental Requirements
- A Site Coordinator operates in a dynamic environment requiring quick decision-making, behavioral intervention, and regulatory oversight.
- Strong classroom management, group dynamic control, and conflict resolution skills.
- The ability to organize and direct individual small group activities of an afterschool and/or summer program.
- Ability to communicate ideas enthusiastically and effectively to motivate and engage staff and youth.
- Flexibility and adaptability to thrive in a fast-paced environment with frequent task switching.
- Should possess excellent interpersonal and problem-solving skills with the proven ability to relate effectively to diverse groups of youth from all social and economic segments of the community.
- Ability to maintain emotional control, professionalism, and a positive attitude under stress.
- Ability to develop and maintain effective working relationships with students, fellow employees, partnering organizations, and families.
Physical Requirements
- Must be able to communicate clearly and concisely, both orally and in writing, with students, staff, and families.
- Must be able to remain active, stand, walk, bend, stoop, crouch, and move quickly for extended periods across indoor and outdoor program spaces to ensure active supervision.
- Ability to lift and move 25 to 40 lbs across short distances to transport activity supplies (e.g., moving tables, carrying sports equipment, lifting supply .
- Must be able to see and hear, with or without corrective devices, to manage large groups of students visually and maintain facility safety.

After-School All-Stars (ASAS) is one of the leading national afterschool program providers in the country. With a special focus on the middle school age group, our comprehensive school-based programs combine academics, enrichment, and health and fitness activities to help build the knowledge and skills children need to succeed, both in school and in life. Founded by Arnold Schwarzenegger in 1992, ASAS is building a national model for on-site afterschool programs during the hours of 3:00-6:00 p.m. providing delivery of impactful programs through our 19 chapters, all of which serve nearly 70,000 youth in major urban localities. With the recent award of a national expansion grant, ASAS launched programs in the Tampa, Florida during Spring of 2016. The program has been growing and thriving for five years in the bay area as we now service 6 schools.
WHO SHOULD APPLY?
The Site Coordinator (SC) should embody ASAS’s core values: accountable, collaborative, transparent, proactive, and entrepreneurial and will demonstrate the ability to lead and coach program staff to accomplish established objectives. The successful candidate will be a detail-oriented self-starter with strong leadership, organizational, management, and communication skills. A 2-year associate degree is required. An undergraduate degree is preferred; BA in education, social or human services, child development, or related field is desirable. One or more years’ experience working in a leadership or supervisory capacity in an afterschool, day camp, or community youth outreach setting is preferred. The successful candidate must have the ability to work cooperatively and collaboratively with school district staff, public officials, private sector officials, parents, and community leaders. Must have familiarity with quality criteria for afterschool programs and youth development principles . Experience working with low-income underserved elementary & middle school youth preferred. Experience working with diverse populations is strongly preferred. The candidate should also demonstrate: a) skill in data tracking, record keeping, writing reports, and maintaining student and staff records; b) the ability to communicate effectively and demonstrate sensitivity to others; c) the ability to respond to critical incidents and emergency situations with swift and mindful action, and d) excellent organizational and coordination skills. Must clear background checks.
