Job summary

  • Minimum of 3-5 years in an administrative role.

Responsibilities

  • Executes assigned tasks in General Administration following standard operating procedures and safety/quality requirements.
  • Maintains accuracy and completeness of records, documentation, and transactions in line with controls.
  • Identifies issues or deviations and escalates promptly, suggesting improvements to work instructions.
  • Supports colleagues and respond to stakeholder requests in a timely, professional manner.
  • Maintains accurate documentation and records in line with policies and procedures.
  • Escalates issues, risks, and deviations promptly to supervisor and follows through on corrective actions.
  • Provide executive administrative support to the Site Head, including calendar management, meeting coordination, and scheduling.
  • Manage front desk operations and serve as the primary point of contact for visitors, employees, and contractors.
  • Coordinate employee business travel and support team meetings, events, and catering arrangements.
  • Oversee office supply procurement and serve as the site Purchasing Agent utilizing Ariba.
  • Perform monthly Business Travel Account (BTA) reconciliations.
  • Administer site access control systems, including badge and key card management for employees, contractors, and visitors.
  • Coordinate domestic and international shipments, including hazardous materials and IATA Dangerous Goods shipments, ensuring compliance with applicable DOT and regulatory requirements.
  • Maintain EHS documentation and records, including site inspection reports, training matrices, first aid logs, Job Safety Analyses (JSAs), contractor orientation records, and onboarding documentation.
  • Administer the site's Safety Data Sheet (SDS) management system and support compliance with safety and environmental regulations.
  • Serve as the Emergency Action Plan (EAP) Administrator and site point of contact.
  • Track and maintain employee, contractor, and visitor training records to ensure compliance with site procedures and regulatory standards

Your Key Accountabilities
