Position Overview

The Shop Foreman leads mechanics and lube technicians and is responsible for ensuring preventive maintenance, inspections, diagnostics, and repairs are completed safely, accurately, efficiently, and according to company standards.

This position serves as the primary operational leader of the shop floor and is responsible for coordinating daily workloads, assigning technicians, monitoring repair progress, maintaining shop organization, verifying repair quality, and communicating equipment status to Fleet leadership and Operations.

The Shop Foreman is expected to lead by example and create a culture of safety, accountability, workmanship, communication, teamwork, and continuous improvement.

Key Responsibilities

Shop Leadership & Team Management

• Lead, supervise, coach, and develop mechanics and lube technicians assigned to the Kluge Yard.
• Coordinate daily shop activities and assign work based on technician skill level, repair priority, operational need, and available resources.
• Conduct daily shop discussions regarding priorities, safety concerns, repair status, parts availability, and expected completion times.
• Establish clear expectations for productivity, attendance, workmanship, communication, and accountability.
• Provide coaching and feedback to technicians and communicate performance or disciplinary concerns to the Fleet Director.
• Help train and develop technicians to improve diagnostic ability, repair quality, efficiency, and overall technical knowledge.
• Promote teamwork and maintain a professional and productive shop environment.

Maintenance Operations & Workflow

• Manage the daily flow of preventive maintenance, inspections, diagnostics, and repairs for company trucks, trailers, service vehicles, and related fleet assets.
• Review incoming repair requests and help establish repair priority based on safety, operational impact, and asset availability.
• Ensure technicians have properly identified the scope of work before repairs begin.
• Coordinate work assignments to maximize technician productivity and minimize unnecessary downtime.
• Monitor repairs throughout the day and address delays, parts issues, additional repair findings, or changing operational priorities.
• Work closely with Fleet leadership and Operations to ensure trucks and trailers are scheduled and available for required maintenance.
• Maintain visibility of all units currently in the shop, awaiting parts, awaiting diagnosis, or otherwise out of service.
• Assist with diagnostics and repairs when necessary while maintaining primary responsibility for shop leadership and workflow.

Preventive Maintenance & Fleet Readiness

• Ensure preventive maintenance services are completed on schedule and according to established company standards.
• Help maintain or exceed company PM compliance goals.
• Identify upcoming PMs, inspections, certifications, and maintenance needs before they become overdue.
• Coordinate with Fleet leadership and Operations to schedule assets for maintenance with minimal disruption to operations.
• Ensure required inspections and maintenance items are completed before vehicles and trailers are returned to service.
• Identify recurring mechanical issues and recommend corrective actions to improve fleet reliability and reduce repeat failures.

Repair Quality & Accountability

• Ensure all maintenance and repairs are completed correctly, completely, and safely before an asset is released from the shop.
• Require technicians to double-check completed work, including fasteners, steering components, suspension components, brakes, wheels, fluid levels, electrical connections, and other safety-critical repairs.
• Perform or assign quality-control inspections on major repairs and safety-related work.
• Verify that repairs address the original complaint and that additional identified concerns have been properly documented.
• Reduce repeat repairs, comebacks, missed repairs, and preventable workmanship-related failures.
• Establish a culture where technicians take ownership of the quality and safety of their work.

CMMS Documentation

• Ensure all repair and maintenance activity is properly documented in CMMS.
• Verify work orders contain accurate repair descriptions, labor entries, parts usage, meter readings, and completion information.
• Ensure technicians update work orders and repair status throughout the repair process.
• Maintain accurate status information for units awaiting parts, diagnosis, approval, or additional repairs.
• Ensure repair requests are properly closed only after work has been completed and verified.
• Reinforce Fleetio as the required system of record for fleet maintenance activity.

Parts, Vendors & Outside Repairs

• Coordinate with parts personnel to ensure required parts are identified and ordered as early as possible.
• Verify parts availability before scheduling major repairs whenever practical.
• Monitor units awaiting parts and communicate expected delays.
• Work with the Fleet Director to determine when repairs should be completed internally versus outsourced.
• Coordinate with approved vendors and repair facilities when outside repair work is required.
• Verify outside repairs are completed satisfactorily before assets are returned to service.
• Help identify opportunities to reduce unnecessary parts costs, outside repair expenses, and repeat vendor work.

Communication & Cross-Functional Coordination

• Serve as the primary day-to-day point of contact for maintenance activity at the Kluge Yard.
• Maintain clear communication with the Fleet Director regarding shop priorities, major repairs, asset downtime, technician performance, parts delays, and operational concerns.
• Communicate effectively with Operations regarding vehicle availability and estimated completion times.
• Escalate major mechanical failures, safety concerns, significant repair costs, or extended downtime to the Fleet Director.
• Participate in Fleet Department meetings and continuous-improvement initiatives.
• Support emergency, after-hours, and weekend maintenance needs when required.

Qualifications & Experience

• High school diploma or equivalent required; technical or diesel-mechanic training preferred.
• Minimum 5+ years of hands-on experience repairing and maintaining commercial trucks, trailers, or heavy-duty fleet assets.
• Previous experience as a Lead Technician, Shop Foreman, Shop Supervisor, or similar leadership position strongly preferred.
• Strong working knowledge of diesel engines, brakes, steering, suspension, electrical systems, air systems, trailers, and preventive maintenance practices.
• Working knowledge of DOT and FMCSA vehicle maintenance and inspection requirements.
• Demonstrated ability to diagnose mechanical issues and evaluate repair quality.
• Experience using fleet maintenance software or computerized maintenance-management systems; Fleetio experience preferred.
• Strong leadership, communication, organization, and problem-solving skills.
• Ability to prioritize multiple repairs and changing operational demands in a fast-paced environment.
• Ability to hold employees accountable while maintaining a productive and professional team environment.
• Strong attention to detail and commitment to safety and workmanship.
• Valid driver's license required; CDL preferred.
• Ability to work occasional evenings, weekends, or after-hours as operational needs require.
