Job summary

Valid8 Financial, Inc. in Vacaville, CA is seeking a Shipping Manager to plan, direct, and oversee the shipping and receiving department, ensuring accuracy and on-time delivery.

You will supervise Shipping & Receiving Assistants and Loaders, optimize routes, manage freight invoices, and coordinate with purchasing and customer service to improve service quality. This is a safety-sensitive role requiring strong leadership and MS Office/EDI proficiency.

Qualifications

• High school diploma; BSc/BA in supply chain, logistics or related field a definite plus.
• Proven experience as shipping manager and in directing subordinates.
• Experience with EDI and preparing shipping documents (e.g. ASN).
• Computer savvy with MS Office, especially Excel.
• Budgeting and reporting knowledge.

Responsibilities

• Direct manage shipping and receiving activities to ensure accuracy, completeness, and condition of shipments.
• Schedule and arrange trucks for material pick-up; maintain shipping logs.
• Review and approve incoming freight bills; manage freight claim process.
• Provide accurate information to customer service and purchasing departments regarding shipments and costs.
• Lead and develop Shipping & Receiving Assistants and Loaders; conduct performance reviews.

Job description

Plan, direct and oversee activities of the shipping and receiving department.

Essential Functions

• Direct manage shipping and receiving activities to ensure accuracy, completeness, and condition of shipments.
• Determine routing and legal load limits of trucks, according to established schedules and weight limits of states.
• Inspect loading operations to ensure compliance with shipping procedures and specifications.
• Schedule and arrange trucks for material pick-up.
• Manage traffic of trucks at the factory at all times.
• Control and perform freight claim process.
• Review, approve and direct to accounts payable all incoming freight bills.
• Maintain record of pictures for all shipments.
• Control shipping schedule according to customer requested delivery dates.
• Provide accurate information to customer service team regarding shipment of materials.
• Provide accurate information to other departments regarding shipping costs.
• Provide accurate count of finish goods to purchasing department.
• Fosters and develops excellent relationships with transportation companies in a strategic manner.
• Ensure accuracy on bills-of-ladings.
• Ensure shipping logs are updated daily.
• Plan, prioritize and delegate work tasks to ensure proper functioning of the department.
• Identify and implement strategies to improve quality of service, productivity and profitability.
• Perform timely performance reviews with shipping and receiving team
• Completes training by supervisor.
• Complies with all safety and company policies and procedures.
• Performs other related duties as assigned.

Education and Experience

• High school diploma; BSc/BA in supply chain, logistics or relative field is a definite plus.
• Proven experience as shipping manager.
• Experience in using EDI and preparing shipping documents (e.g. ASN)
• Computer savvy with excellent knowledge of MS Office (especially Excel).
• Good understanding of budgeting and reporting.
• Experience in directing and evaluating subordinates.

Physical Requirements

• Ability to work approx. 8 hour per day, Monday-Saturday, with ability to work overtime up to 12 hours per day as well as some Sundays as needed. Hours and shifts depend on season and shipping schedule, and shifts are not guaranteed.
• Ability to sit, walk, and stand for extended periods. Must be able to bend, lift, twist, reach, grasp, and other physical movements.
• Ability to occasionally work in a non-climate controlled environment with extreme temperatures and humidity, with some outdoor exposure when needed.
• Ability to lift 50 lbs.
• Must be able to effectively use telephone equipment, office equipment and machines, a computer, and have intermediate proficiency in MS Office and email.
• Must be able to use tools, equipment, machinery, etc.
• Must be reliable and dependable

While performing the duties of this job, the employee is regularly exposed to work near moving mechanical parts, dusty conditions, high noise environments, chemicals used in the process, and extreme temperatures. The facility is an industrial manufacturing plant.
