Job summary

Responsibilities include ensuring DOT/hazmat compliance, processing shipping documents in SAP, coordinating dock scheduling, and tracking shipments across truck, rail, and barge as applicable.

Qualifications

• 1+ years of shipping, receiving or logistics experience in industrial manufacturing or chemical plant.
• Proficient in Microsoft Office for tracking inventory and documentation.

Responsibilities

• Coordinate and manage all shipping and receiving activities across multiple modes (truck, rail, barge where applicable).

• Monitor inventory levels and support cycle counts and inventory adjustments.
• Assist with audits and regulatory reporting and maintain organized logistics records.

Job Description

W. R. Grace is seeking a Shipping Coordinator to manage daily inbound and outbound plant logistics, ensuring all materials move safely, accurately, and on schedule. Acting as a critical operational bridge, this position collaborates closely with operations, production, procurement, and customer service to maintain high inventory precision and fulfill customer delivery expectations. The coordinator is directly responsible for maintaining data integrity within SAP, executing precise system transactions, and upholding strict safety and compliance standards across all logistics and freight operations.

• Ensure compliance with DOT, hazmat and site-specific shipping regulations
• Verify accuracy and completeness of shipping documents for regulated materials
• Comply with all plant environmental, health, safety, and process safety standards and procedures.
• Report hazards, deviations, and injuries in a timely manner
• Coordinate and manage all aspects of shipping and receiving processes, including scheduling shipments and tracking deliveries across multiple transportation modes (truck, rail, barge where applicable)
• Responsible by site logistics digital platform controlling inbound/outbound truck movement (Vector)
• Coordinate dock scheduling to prioritize loading/unloading activities and material movement between production units and storage locations
• Prepares shipments by obtaining the product labels, pick list, BOL, packing list, SDS, CoAs and any other shipping documentation. Inputs shipment details into SAP
• Communicate with carriers, vendors, and internal teams to ensure timely and accurate shipments
• Monitor inventory levels and reorder supplies as necessary to meet shipping demands
• Prepares and ships samples of materials upon request
• Ensure accuracy of goods receipt (GR) and goods issue (GI) transactions
• Investigate and resolve inventory discrepancies between SAP and physical stock
• Support stock transfers (STOs), returns (RMA), and inventory adjustments
• Assists with ordering raw materials that are needed and processes requisitions (utilizing SAP)
• Support inventory control processes including cycle counts and reconciliation
• Support audits by maintaining organized and compliant logistics records
• Monitor and resolve blocked deliveries, shipment errors, and SAP exceptions
• Support month end closing activities such as inventory reconciliation and data entry
• Provide exceptional customer service by addressing shipping inquiries and providing status updates
• Assist in the development and implementation of procedures to enhance efficiency and reduce costs
• Track and support logistics KPIs such as: On-time shipments (OTIF), inventory accuracy, shipping documentation accuracy, freight and carrier performance
• Identify process inefficiencies and support lean / 5S initiatives in logistics operations
• Provide administrative and support coverage during absences of other logistics team members (e.g., other logistics coordinators, logistics supervisors)

Physical Requirements and Environment

• Ability to follow safety protocols and standards working in a pilot plant facility with highly hazardous materials
• Ability to work in a high hazard environment, including adverse weather conditions, elevated spaces, confined spaces, extreme temperatures, and noisy surroundings.
• Must be able to stand, walk, sit, climb, balance, stoop, kneel, crouch, crawl, and climb stairs and ladders over 100 ft.
• Must be willing to wear PPE (Personal Protective equipment) including but not limited to hard hat, protective eyewear, steel-toed boots, hearing protection, Level A suit, full face respirator

Required Qualifications

• High school diploma or GED required.
• 1+ years of experience in shipping, receiving or logistics within an industrial manufacturing or chemical plant.
• Proficient in Microsoft Office (Excel, Word, Outlook) for tracking inventory, data analysis, and documentation.

Preferred Qualifications

• Associate degree in Logistics, Supply Chain, or Business Administration preferred.
• 2+ years of experience in shipping, receiving, or logistics within a industrial manufacturing or chemical processing environment.
• Ability to manage multiple priorities in a high-volume shipping environment.
• Experience using Enterprise Resource Planning systems like SAP (SD/MM modules) or Oracle to manage shipments, inventory, and order fulfillment.
• Familiarity with shipping documentation (BOL, SDS, COA, export documentation if applicable)
• Strong communication skills to coordinate with freight carriers, site EHS officers, plant operators, and customer service teams.
