Qualifications

  • PMP, Scrum Master, Lean, Six Sigma, or related certification a plus.

Responsibilities

  • Coordinate and support cross-functional projects involving Business Management Support functions. Develop and maintain project plans, timelines, milestones, resource requirements, and deliverables.
  • Coordinate and help facilitate project meetings, status reviews, and planning sessions. Track project timelines and deliverables to keep work on schedule.
  • Monitor progress, identify roadblocks, and bring issues forward to leadership for resolution. Coordinate activities among internal stakeholders, external clients, and partners.
  • Track contract renewal dates and coordinate timely renewal actions with relevant stakeholders.
  • Coordinate meetings with Shared Services Initiative partners and other stakeholders.
  • Support leadership in clarifying roles, responsibilities, and ownership across project teams. Track decisions and follow up to keep momentum. Document processes, risks, and scope changes.

Shared Services Senior Project Coordinator Consulting Managed Services Remote Flex in New York State only (some onsite work may be required) Nonexempt, Full-Time, 37.5 hours/week Compensation: $30.29 - $31.25 per hour

We are seeking a talented Shared Services Senior Project Coordinator to join our team of nearly 500 employees. The Shared Services Senior Project Coordinator supports the coordination and tracking of cross-functional business initiatives across multiple business management support functions. This role serves as a point of coordination between operational leaders, service delivery teams, vendors, and other stakeholders, helping projects, process improvements, and organizational priorities move forward on time and within scope. This role provides day-to-day project coordination by supporting decision-making, documenting accountability, tracking risks and dependencies, and maintaining clear communication across functions. While this role is not directly responsible for owning operational processes or final decision-making authority, this role is accountable for keeping projects and all associated requirements organized, visible, and on track so business teams can successfully execute their work. In this role, you will


Project Coordination & Support

Coordinate and support cross-functional projects involving business management support functions such as Accounting, Finance, Contracting, Human Resources, Compliance, and Administrative Services. Develop and maintain project plans, timelines, milestones, resource requirements, and deliverables. Coordinate and help facilitate project meetings, status reviews, and planning sessions. Track project timelines and deliverables to keep work on schedule and aligned with priorities. Monitor progress, identify roadblocks, and bring issues forward to leadership for resolution. Coordinate activities among internal stakeholders, external clients, and business partners. Track contract renewal dates and coordinate timely renewal actions with relevant stakeholders. Coordinate meetings with Shared Services Initiative partners, including Causewave Community Partners and Council of Agency Executives.


Documentation & Accountability

Support leadership in clarifying roles, responsibilities, and ownership across project teams. Track outstanding decisions and follow up with stakeholders to keep them moving toward resolution. Document processes, decisions, action items, risks, dependencies, and scope changes. Escalate unresolved issues, resource constraints, and project risks to the supervisor with supporting information. Support leaders in evaluating tradeoffs, prioritizing initiatives, and making informed decisions.


Business Process & Operational Improvement

Partner with functional leaders to identify opportunities for process improvement, standardization, and operational efficiency. Support the design and implementation of shared services models, governance structures, and service delivery improvements. Develop and maintain project management tools, templates, workflows, and reporting mechanisms. Facilitate cross-functional collaboration to ensure alignment and minimize operational silos. Promote continuous improvement and lessons learned throughout the project lifecycle.


Risk, Budget & Resource Management

Identify and track project risks, issues, and dependencies, and bring them to the supervisor's attention. Support impact and risk analysis and help identify possible mitigation options. Assist with project budgeting, forecasting, and resource planning as needed. Follow established change management processes for scope, timeline, and resource modifications. Monitor project performance against established objectives and success metrics.


Communication & Stakeholder Management

Serve as a liaison among leadership, support functions, project teams, and external partners. Provide concise and actionable updates to executives and stakeholders. Build strong working relationships across diverse teams and organizational levels. Help stakeholders stay informed on project objectives, impacts, timelines, and expectations. Support change management efforts through communication, engagement, and training activities.


Compliance & Quality Assurance

Support compliance of projects and initiatives with organizational policies, regulatory requirements, contractual obligations, and industry best practices. Maintain appropriate documentation, governance standards, and project records. Support project closeout activities, including transition planning, knowledge transfer, and lessons learned reviews. Track and coordinate submission of funder reporting requirements and deliverables.


What you bring

Bachelor's degree in Business Administration, Project Management, Organizational Leadership, Operations, Public Administration, or a related field.( see CCSI's equivalency chart ) Minimum of 4 years of experience coordinating cross-functional projects, business operations initiatives, or shared services programs. Experience working across multiple corporate functions and business support teams preferred. PMP, Scrum Master, Lean, Six Sigma, or related certification a plus. Experience with process improvement, organizational change management, or shared services implementation highly desirable.
