Job summary

Insight Public Sector is hiring an Services Operations Specialist for our Hanover Park, IL office. This onsite role supports the Sustainability department by processing orders, coordinating returns, and resolving receiving discrepancies while partnering with distributors and internal teams.

You will become the product and program expert for assigned vendors, communicate clearly with clients, and manage vendor relationships, RMAs, and warranty issues.

Responsibilities

• Enter orders in a timely manner for shipping, retrieval, and exchange of technology devices for specific accounts in accordance with SLA.
• Investigate and resolve receiving discrepancies; manage receipt dates and coordinate with distribution to fix issues.
• Become an expert on products, programs, and vendor initiatives assigned.
• Deliver client-facing messages clearly, verbally and in writing, and respond promptly to inquiries or complaints.
• Coordinate RMAs with vendors for damaged or unused products.
• Manage all aspects of assigned vendors, back-orders, ETA, and warranty claims.
• Collaborate with internal teams on parts ordering information issues.
• Maintain accurate costing, classification, and status of products; report discrepancies to Finance.
• Manage team mailbox and ensure timely email responses.
• Answer questions about processes, shipments, and procedures.
• Demonstrate problem-solving, critical thinking, and strong organizational skills.
• Adapt in a fast-paced environment with attention to detail.
• Work well in a team or independently with good time management and self-prioritization.

About the role

Operations Specialists are situated in different sections within the Sustainability department, which operates as an integration and warehouse facility. Expect moderate noise levels akin to a typical business office environment with computers, phones, and printers, as well as light foot traffic. Teammates should be comfortable working in a confined space and capable of sitting at a computer terminal for extended periods. As a SOC, you will get to:

• Enter orders in a timely manner for the shipping, retrieval, and exchange of technology devices for specific accounts, while adhering to the clients Service Level Agreements (SLA).
• Investigate and resolve receiving discrepancies, proactively managing receipt dates, working with distribution employees to resolve issues regarding lost and damaged products.
• Become an expert of information regarding specific products, programs, and initiatives of assigned vendors and product categories.
• Clear communication skills are required to deliver client facing messages verbally and in writing, and the ability to respond effectively to inquiries or complaints in a timely fashion.
• Work with vendors in acquiring Return Merchandise Authorization (RMAs) for damaged, unused products.
• Manage all aspects of assigned vendors, back-orders, and estimated time of arrivals (ETA), as well as the handling and tracking of warranty claims.
• Work with internal personnel on problems relating to parts ordering information.
• Responsible for maintaining accurate costing, classification, status of assigned products, identify billing and inventory discrepancies, and report appropriately. Work with finance to resolve any vendor issues, as necessary.
• Manage team mailbox, ensuring emails are addressed throughout the day.
• Answer questions internal & external re: processes, procedures, inbound/outbound shipments.
• Problem-solving and critical thinking abilities, and Excellent organizational skills
• Ability to adapt in a fast-paced environment with a focus on attention to detail.
• Ability to work in a team and ability to work independently, strong time management skills and ability to self-prioritize work responsibilities
