Job summary

Total Equipment Management is seeking a Service Writer who acts as the bridge between customers and technicians. You will welcome customers, coordinate repairs, and ensure accurate work orders and documentation.

You will manage estimates, invoices, warranty claims, and communications, while maintaining records in our service management system to support the shop’s efficiency. This role requires strong communication, organization, and the ability to multitask in a fast-paced environment.

Qualifications

• High school diploma or equivalent required.
• Experience in customer service, service advising, office administration, or related role preferred.
• Experience in equipment/industry fields is a plus but not required.
• Excellent communication and organizational skills are essential.
• Comfortable using computers and service software.

Responsibilities

• Welcome customers and provide exceptional service throughout the repair process.
• Answer phone calls, emails, and inquiries regarding equipment repairs.
• Create, process, and close work orders with accurate and complete information.
• Prepare repair estimates, invoices, and service documentation.
• Coordinate with Parts Department to ensure technicians have needed parts.
• Check equipment in and out of the shop per company procedures.
• Keep customers informed with timely updates on progress and timelines.
• Assist the Service Manager with warranty claims and manufacturer documentation.
• Complete Bobcat Arrival Condition Reports and other required records.
• Process customer payments and assist with billing when needed.
• Maintain accurate customer and equipment records in the service management system.
• Support the service team with additional duties as assigned.

What You'll Do

As a Service Writer, you'll coordinate repair documentation, communicate with customers, and support technicians to keep our service department operating efficiently.

Your responsibilities will include:

Education & Experience

• High school diploma or equivalent required.
• Previous experience in customer service, service advising, office administration, or a related role preferred.
• Experience in the equipment, automotive, heavy equipment, agricultural, or construction industries is a plus but not required.

Physical Requirements

This position requires the ability to:

• Lift up to 40 pounds regularly and up to 75 pounds occasionally.
• Bend, kneel, squat, and stand while inspecting equipment and assisting customers.
• Work safely in a busy service shop environment with noise, moving equipment, and varying shop conditions.
• Perform occasional inspections of equipment both indoors and outdoors.
