Job summary

The position requires 6–8+ years in mechanical/electrical/plumbing service and proficiency with service-tracking software and MS Office.

Qualifications

• HVAC field experience is required or strongly preferred.
• MS Office proficiency including Excel, Word, and Outlook.
• Experience working with service tracking tools like Astea is preferred.
• Strong communication and customer-service orientation.
• Bachelor's degree may substitute for some work experience.

Responsibilities

• Schedule and dispatch technicians for startups, repairs, warranty, and maintenance.
• Route technical inquiries to the right resource and track time/attendance.
• Coordinate startups and communicate scheduling to customers; follow up on progress.
• Process invoices and assist in local AP/AR activities to ensure timely payments.
• Support warranty administration, parts orders, and shipments tracking.
• Enter and maintain data in the ERP system for work orders and billing.
• Ensure proper close-out of work orders and filing of related paperwork.
• Assist new hires with paperwork and onboarding requirements.

Location: Indianapolis, IN, - Hybrid

Your Responsibilities

• Work with Technician Supervisor and/or Operations, Service Center or District Manager in scheduling and dispatching of technicians for jobs (Startups/repairs, warranty, maintenance)
• Handle customer inquiries and route questions of technical nature to the appropriate resource
• Tracking of time and attendance for technicians
• Coordinate job startups and maintain communication with the customer regarding scheduling for the startup and follow-up on jobs in progress/completed
• Invoice and bill customers
• Assist in performing local office AP/AR functions and follow up with customer to ensure that payment has been received
• Coordinate warranty administration process, parts orders, and track shipments
• Answer telephones and greet customers while maintaining professional and courteous customer contact
• Assist new hires in the completion of their new hire paperwork, complete employer required sections of forms (I-9) and ensure that it is sent to Human Resources on the new employee's first day of employment
• Maintain OSHA logs
• Enter all information and maintain information into Enterprise Resource System. This includes work orders, new customer information, and technician hours for billing purposes
• Ensure timely close‑out on all work orders and that all associated paperwork (P.O., etc.) is received and filed with the proper job
• Responsible for gathering local prevailing wage rate and completing sending hours worked by Technicians on those PW jobs to Human Resources
• Maintain filing for and office equipment (copier, telephone, fax, etc.)
• Provide initial notification of Workers Compensation claims to insurance carrier

Your Qualifications

• High School Diploma or GED
• 6-8+ years of related experience in mechanical, electrical, or plumbing service field
• Bachelor's degree may be considered in lieu of work experience
• Experience working with HVAC Technicians (preferred)
• Experience with Astea and/or any other service tracking software
• Proficient knowledge of Microsoft Office Suite

The typical hourly pay rate for this position ranges from $28.61 - $47.00 / hr. in Indiana. The range displayed represents the pay range for all positions in the job grade which this position falls. Individual base pay will depend on a wide range of factors including your skills, qualifications, experience, and location.
