Patriot Fire Protection, a leading fire protection company, is seeking an organized administrative professional to manage scheduling and back-office tasks for field teams. You will coordinate complex projects, draft communications, and act as a liaison among field staff, customers, and regulatory agencies.

The role emphasizes meticulous data management, process improvement, and collaboration with a close-knit operations team to ensure timely service delivery at multiple sites in Washington.

Qualifications

  • 3+ years of administrative-level experience.

Responsibilities

  • Schedule and coordinate complex schedules for field teams and projects.
  • Handle back-office tasks, answer phones, draft communications, and prepare work orders.
  • Serve as liaison between field personnel, customers, and government agencies.
  • Manage reports and data for inspection, testing, and service teams.
  • Develop and maintain standardized processes with thorough follow-up.

What You'll Do:
  • Scheduling and Coordination: Manage and optimize complex schedules for field teams, ensuring efficient resource allocation and timely project execution while maintaining flexibility to accommodate urgent customer requests and changing priorities
  • Support Operations: Own back-office functions, answer phones for urgent customer needs, draft communications and prepare work orders
  • Liaison: Serve as the communication hub between field personnel, customers, and government agencies.
  • Data Management: Craft, process and organize reports and reporting systems for our inspection, testing and service teams
  • Systems Expert: Build proficiency on the Google Drive platform and in our construction software (Viewpoint/Spectrum)
  • Collaboration: Work alongside a close-knit team to manage daily operations, including fielding incoming service calls, while continually brainstorming ways to improve process efficiency

What We’re Looking For:
  • Education: High School Diploma or GED
  • Experience: 3+ years of administrative-level experience
  • Technical Skills: Proficiency with Microsoft Suite (particularly Excel) and Google Suite (particularly GSheets)
  • Attention to Detail: A keen eye for detail and the capacity to maintain accuracy in repetitive tasks
  • Process-driven: Affinity for developing and maintaining standardized and multi-step processes including rigorous follow-up
  • Organized: Ability to prioritize tasks effectively, manage multiple projects simultaneously, and meet deadlines consistently
  • Industry Experience: Experience in the construction industry or commercial fire alarm tenant improvements is a plus but not required
  • Availability: Full-time availability (40 hours per week, 7am start time)
  • Compliance: Drug screening and background checks will only be conducted after a conditional job offer is made. We evaluate criminal history based on its relevance to the job duties
