The Service Division provides machine and industrial fluid management services to manufacturers across the aerospace, defense, automotive, energy, and general manufacturing sectors, delivered under our Fluid Service Technologies brand. Our technicians work on site at customer facilities and from mobile crews serving customers across multiple states.

About the Position

The Service Coordinator schedules the crews of the D-Ash Industrials Service Division and maintains the records behind the work they perform. Reporting to the Service Manager, this individual keeps crews productively scheduled, coordinates with customers on timing, and ensures job records are complete and accurate for billing and reporting.

This is a scheduling and coordination role that requires organization, attention to detail, and comfort working with experienced field personnel.

Job Duties & Responsibilities

Scheduling & Dispatch

• Build and maintain the daily and weekly schedule for service crews
• Adjust the schedule as jobs are added, cancelled, or rescheduled, and fill open time promptly
• Plan crew routing and travel to make efficient use of technician time
• Communicate schedule changes to technicians, crew leads, and customers

Job Documentation & Reporting

• Maintain accurate job records, including labor hours, materials, and completion documentation
• Prepare customer quotes for approval and issue work orders
• Close completed jobs for billing and confirm supporting documentation is in order
• Provide regular reporting to the Service Manager on scheduled work, completed work, and open items

Customer Coordination

• Serve as the scheduling point of contact for customers
• Maintain the recurring service calendar and schedule return visits
• Keep customer records current, including contacts, equipment information, and open quotes
• Pass sales opportunities identified by technicians to the sales organization

Required Qualifications

• 3+ years of experience in scheduling, dispatch, or service coordination
• Strong attention to detail and accuracy with records and data
• Ability to coordinate the work of experienced field personnel
• Proficiency in Microsoft Office Suite, particularly Excel, and experience with scheduling or work order software
• Ability to stay organized and effective while managing frequent changes and interruptions
• Strong written and verbal communication skills with technicians, customers, and internal teams
• Able to work on site in Conroe, TX

Preferred Qualifications

• Background in field service, industrial services, construction, or the skilled trades
• Experience with job costing, time capture, or field service management systems
• Familiarity with customer relationship management systems
