Position Overview
The Service Advisor will manage an assigned book of existing clients and serve as their primary day‑to‑day point of contact. You’ll ensure each client feels supported, informed, and well cared for in every interaction. Working closely with Lead Advisors, you will execute financial strategies, maintain account administration, and help deliver a seamless advisory experience.
This position does not require sales or new business development.
Key Responsibilities
Client Relationship & Service Management
- Serve as the main point of contact for an established group of clients.
- Proactively reach out for check‑ins, updates, and meeting scheduling.
- Ensure clients feel heard, supported, and valued across phone, email, and in‑person interactions.
- Build and maintain strong long‑term relationships that enhance client satisfaction and retention.
Implementation of Advice (Under Lead Advisor Direction)
- Translate advisor recommendations into clear, actionable next steps.
- Process investment changes, account updates, and related administrative tasks.
- Explain approved recommendations within compliance and licensing guidelines.
- Coordinate with custodians, insurance carriers, and internal operations to ensure accurate and timely execution.
Account Administration & Maintenance
- Manage daily account needs, including beneficiary updates, banking links, RMDs, and ongoing contributions/distributions.
- Monitor paperwork, signatures, missing documents, and deadlines.
- Track key client dates and coordinate with advisors to ensure required follow‑up.
Meeting Preparation & Follow‑Through
- Prepare financial reports, performance summaries, and meeting materials.
- Ensure accuracy and completeness of all client information before reviews.
- Own the post‑meeting action list and ensure all tasks are completed promptly.
- Document interactions and outcomes in the CRM with clarity and detail.
Administrative & Compliance Support
- Maintain compliant client files in accordance with regulatory and firm standards.
- Assist with gathering documentation for internal and external audits.
- Ensure all communications, paperwork, and transactions meet compliance expectations.
Internal Collaboration
- Work closely with advisors, planners, and operations teams to deliver a seamless client experience.
- Communicate client updates and needs promptly to enhance strategy accuracy.
- Contribute recommendations that improve client service processes and team efficiency.
