Job summary

Marina Mechanical Services in Livermore, CA is seeking an HVAC Service Accounts Receivable Coordinator to manage billing, collect on outstanding invoices, and deliver top‑notch customer service in a dynamic, employee‑owned environment.

You will prepare and process invoices, manage client portals, read contracts for billing requirements, handle statements, resolve discrepancies, and support service sales during busy periods, with opportunities for professional development.

Responsibilities

• Prepare and process accurate and timely customer invoices and submit to customers through various channels.
• Manage client portals for invoicing and collections.
• Read contracts and interpret billing requirements with accuracy.
• Issue client account statements.
• Verify discrepancies and resolve clients’ billing issues in a timely manner.
• Work outstanding AR aging and manage a DSO of <50 days.
• Customer Purchase Order management.
• Answer questions and handle complaints from clients regarding bills.
• Work with the Service Coordinator to provide redundancy in high volume times and coverage during vacations etc.
• Answer busy phones and assist with taking service calls for clients in detail.
• Assist service sales with prequalification’s, COI requests, or client related documents.
• Warranty administration as needed.
• Responsible for uploading paperwork to 3rd party vendors and in-house systems.
• Other responsibilities as assigned.
