Job summary

Nscale in Houston is seeking a Senior Travel & Expense Specialist to own end-to-end travel and expense functions while supporting AP operations.

You'll partner with Finance, HR, Operations and leadership to ensure policies, controls, and scalable processes, in a fast-growing AI infra environment. The role emphasizes process improvements, system administration, reconciliations, and cross-department collaboration.

Qualifications

• 5+ years of experience in Travel & Expense, Accounts Payable, or a related finance operations role.
• Strong understanding of expense management, reimbursement workflows, AP operations, and vendor payment cycles.
• Hands-on experience with ERP and expense management systems; NetSuite preferred.
• Strong reconciliations, variance analysis, and maintaining accurate financial records.
• Excellent Excel and analytical skills.
• Excellent communication and stakeholder management with senior leadership.
• Bachelor's degree preferred in Accounting/Finance/Business.

Responsibilities

• Own travel and expense operations, including reviews, approvals, and processing.
• Process reimbursements accurately within established service-level timelines.
• Ensure policy compliance and internal controls.
• Provide guidance and training on travel policies and reimbursements.
• Lead systems and process improvements and automation.
• Support system administration and optimization.
• Contribute to finance transformation initiatives.
• Perform reconciliations of expense accounts and vendor statements.
• Support month-end close related to expenses and AP accruals.
• Partner with senior stakeholders to align processes with business priorities.
• Mentor junior team members and drive best practices.
• Manage accounts payable support including invoice processing and vendor onboarding.
