G&A Partners' client is currently seeking a Senior Sales Assistant (Project Manager) to join its team in Houston, TX.
The Sr. Sales Assistant (Project Manager) will support sales activities by interfacing with customers, suppliers, and transportation companies to manage quoting, billing, collections, documentation, inventory control, and related tasks. This role requires strong communication skills, advanced computer proficiency, and medium to advanced API 5L and carbon steel line pipe knowledge. A background in API Line Pipe is preferred.
Key Responsibilities (Duties)
Order Processing and Quoting:
- Create, record, and review sales orders, purchase orders, and order profiles using
- advanced Excel functions (e.g., VLOOKUP, pivot tables) and Word for documentation.
- Prepare and deliver accurate customer quotes based on API 5L and carbon steel line pipe specifications.
- Issue invoices based on business terms and entered buying, selling, and transportation data.
- Apply medium to advanced API 5L and carbon steel line pipe knowledge to ensure accurate documentation and compliance.
Delivery and Logistics:
- Arrange, track, and record deliveries, ensuring compliance with API 5L standards for carbon steel line pipe products.
- Coordinate import/export documentation and customs clearance with brokers, suppliers, and customers.
- Provide delivery instructions/releases to port authorities, warehouses, and logistic companies.
Inventory Management:
- Maintain and track inventory using Excel-based tools, reconciling discrepancies and researching issues.
Financial Support:
- Monitor accounts receivable and report overdue accounts to Sales Representatives and customers.
- Collaborate with accounting for monthly/annual closings, credit applications, claims, and debit/credit memos.
Documentation and Reporting:
- Generate sales-related documents (e.g., invoices, packing lists, POs, quotes) using Word and Excel.
- Manage and report project statistics for imports/exports by ports/countries, leveraging advanced Excel skills.
- Prepare month-end cost reports and verify deductions/debits for claims.
Computer and AI Initiatives:
- Utilize advanced Excel and Word skills for data analysis, reporting, and document creation.
- Support AI initiatives by integrating data into AI-driven tools or platforms for sales forecasting and process optimization.
Administrative Support:
- Assist Sales Representatives and Managers with quotes, project management and invoicing.
- Operate office equipment, handle mail, and answer phones professionally.
Communication:
- Interface with internal teams, such as accounting and sales (e.g., customers, vendors, suppliers).
- Follow up on accounting requests for audits and monitor credit limits/terms with customer
Qualifications
- Associate’s degree or equivalent (bachelor’s degree preferred).
- 3-5+ years experience in a sales/project support function specific to steel manufacturing/pipe fabrication space preferred; medium to advanced knowledge regarding API or Line Pipe preferred.
- Advanced proficiency in Microsoft Office, particularly Excel (e.g., VLOOKUP, pivot tables) and word.
- Experience with AI initiatives or tools for sales or data analysis is a plus.
- Logistics experience (import/export) and inventory management experience are a plus.
- Excellent communication skills and ability to work independently and in a team.
- Legally authorized to work in the United States.
- Travel: 0-10% (possibly once a year)
