Job description

· Assists the contract manager in supporting project management teams by ensuring contract administration aligns with contractual obligations and cost management strategies.

· Conducts pre-tender activities for trade package awards, including site show rounds and verifying tender drawings and documents.

· Clarifies discrepancies in scope of work and drawings with consultants, updating addendum drawings and BQ pages accordingly.

· Requests and follows up on quotations from trades.

· Calculates quantities based on BQ and detailed breakdowns in Excel sheets.

· Reviews tender pricing with the contract manager, understanding project schedules, profit margins, and discounts; participates in tender interviews and prepares responses.

· Reviews letters of appointment, contract drawings, and documents to identify deviations from tender specifications.

· Attends project kick-off meetings, briefing the scope of work to the project team and management.

· Arranges for insurance, factory licenses, bonds, pre-construction surveys, and fit-out deposits as required.

· Follows up on sample submissions and attends consultant meetings with the Project Manager.

· Negotiates with suppliers and appoints specialist sub-contractors based on trade.

· Ensures timely submission of variation order costs, progress claims, and final accounts, maintaining communication with the project manager.

· Submits progress claims monthly and follows up on payment certificates with clients.

· Certifies sub-contractor claims based on site progress and quantities.

· Requests approvals for additional instructions or extra works with consultants.

· Participates in project closure meetings with consultants.

· Submits warranty documents as per contractual terms.

· Ensures submission of as-built drawings and operation manuals by the project manager.

· Coordinates with landlords regarding the refund of fit-out deposits.

· Performs other duties such as surveys and deposit management as assigned.
