About the Role

Space Investment Partners is a vertically integrated real estate investment firm focused on acquiring, repositioning, and operating high-quality neighborhood and grocery-anchored shopping centers. We are seeking a Senior Property Manager to support property-level operations across a portfolio of retail and light industrial assets, partnering closely with the Asset Management, Acquisitions, and Accounting/Finance teams to drive operational excellence.


Position Objective

The Senior Property Manager is responsible for the physical management and lease administration of an allocated portfolio of retail and light industrial assets. This role supports the Asset Manager in delivering operational excellence across lease administration, financial reporting, and building management, and mentors junior property management staff. The ideal candidate brings strong administrative acumen, a passion for customer service, and the ability to manage multiple priorities in a fast-paced commercial real estate environment.


Financial & Lease Administration


  • Manage tenant arrears in accordance with delegated authority from the Asset Manager, ensuring timely follow-up and resolution.

  • Prepare and finalize the annual operating and capital expenditure budgets, and the annual operating expense reconciliation, for each property in the portfolio.

  • Manage the invoice coding process, obtain necessary approvals, and liaise with Property Accounting to ensure invoices are paid within agreed timeframes.

  • Prepare Capex approval forms in accordance with delegated authority and the capital expenditure approval process.

  • Ensure all rent reviews are conducted in accordance with the requirements of the lease.

  • Prepare lease approval forms and corresponding lease set-up documentation for all new leases, licenses, renewals, and short-term occupancies.

  • Maintain a current, accurate tenancy schedule for all properties within Yardi or MRI.

  • Ensure electronic lease and due diligence files are kept up to date and accurate at all times.


Building & Contractor Management


  • Oversee contractors and service providers including bids/contracts, COIs, and lien releases and ensure timely invoice approval and payment, in partnership with the Property Assistant.

  • Administer insurance matters, including risk assessment reports, inquiries from the Risk Management Department, and claims support.

  • Oversee physical presentation of assets (façade, hardscape, landscaping, common areas), including scope, quoting, and project management of upgrades.

  • Ensure vacant units meet Space Investment Partners' presentation standards; manage the make-ready process for vacated tenancies, including negotiation, scoping, quoting, and contractor project management.

  • Conduct regular asset inspections with the Asset Manager; identify site risks and non-compliance issues and ensure timely resolution.

  • Lead capital project management activities for retail centers as required, including minor renovations to newly acquired assets.


Stakeholder & Relationship Management


  • Develop and maintain strong, productive relationships with tenants, key on-site contacts, and administration representatives to ensure a high level of customer satisfaction.

  • Build effective relationships with tenant representatives, ensuring satisfaction with both physical management and lease administration services.

  • Mentor and support the professional growth of property assistant team.

  • Contribute to a team-oriented environment, building consensus and fostering effective working relationships across the business.

  • Demonstrate sound judgment and make well-reasoned decisions in a timely manner, drawing on analysis, experience, and business context.

  • Perform other duties as reasonably requested by management.


Knowledge, Experience & Skill Requirements

Education


  • Bachelor's degree in Real Estate, Business, Finance, or a related field; or equivalent professional experience in commercial property management.


Experience


  • 7-10+ years of progressive property management experience, with a strong preference for candidates with both retail and light industrial experience.

  • Prior experience managing or mentoring property administrators or assistant property managers preferred.

  • Experience with capital project management, including minor renovations to newly acquired assets, is an advantage.

  • Proficiency with Yardi, MRI, or a comparable property management platform.

  • California real estate salesperson or broker license preferred, or willingness to obtain one.

  • CPM, RPA, or a similar professional designation is a plus.


Technical Knowledge


  • Working knowledge of lease structures, rent reviews, and lease administration processes.

  • Familiarity with capital expenditure approval processes and operating expense reconciliations.

  • Understanding of insurance requirements and risk management practices relevant to commercial property.
