The Senior Property Accountant works independently with minimal oversight, proactively identifying and resolving issues, while partnering with Property Managers, Regional Managers, and Asset Managers to support the financial performance of the portfolio.

  • Prepare and post monthly property financial statements, journal entries, accruals, and account reclassifications for an assigned portfolio, ensuring statements tie to the general ledger and are delivered on time.
  • Reconcile property balance sheet, bank, and resident security deposit accounts, researching and resolving discrepancies.
  • Maintain property-level fixed asset, depreciation, accrual, and prepaid expense schedules.
  • Perform accounting for assigned small corporate entities, including accounts payable, accounts receivable, and account reconciliations.
  • Record property intercompany activity.
  • Prepare property audit schedules and supporting documentation and support month-end and year-end close.
Cash Management & Financial Obligations
  • Monitor cash activity across the portfolio, identify cash flow concerns, and communicate trends, funding needs, and budget variances to Managers.
  • Track key financial obligations, including mortgage payments, property tax payments, insurance premiums, owner distributions, and owner capital contributions.
Tax & Compliance
  • Prepare state-level tax returns and required reporting for Assistant Controller review and approval.
  • Prepare property tax assessment reviews for Assistant Controller approval.
  • Support compliance reporting requirements and year-end property file preparation.
Commercial & Utility Billing
  • Calculate and oversee monthly RUBS (Ratio Utility Billing System) billing.
  • Support commercial lease administration and billing, maintaining billing schedules and related accounting records.
  • Coordinate billing changes with Operations and review revenue-related activity for accuracy.
Budgeting & Owner Reporting
  • Analyze budget-to-actual variances for the assigned portfolio.
  • Assist with preparation of annual property budgets.
  • Generate owner, lender, and management reports.
Field Payroll
  • Process field payroll through ADP for property-level staff, including entering hours, employee changes, and deductions, and reviewing payroll registers for accuracy before submission.
  • Review field employee timecards and coordinate with Property Managers and HR on new hires, terminations, and deduction changes.
  • Prepare field payroll journal entries, allocate payroll costs to properties, and reconcile property payroll accounts.
Accounts Payable, Receivable & Resident Accounting
  • Review and process accounts payable invoices, ensuring they are accurately coded, approved, and paid for property, small corporate, and commercial accounts.
  • Record accounts receivable for small corporate and commercial accounts, and audit property-level receivables entered by onsite teams, partnering with property teams to resolve outstanding items.
  • Review property transactions for compliance with company policies, accounting standards, and internal controls, maintaining accurate and organized records.
  • Maintain vendor master records, setup, required documentation, coding, and property allocations.
  • Track certificates of insurance for vendors and tenants, ensuring required coverage remains current.
  • Prepare and file annual 1099 reporting.
  • Utilize AppFolio to perform daily accounting responsibilities and support accurate data entry and reporting.
  • Provide feedback on system functionality, participate in testing and implementation of new processes, and identify opportunities to improve efficiency and internal controls.
Collaboration & Operational Support
  • Partner with Property Managers, Regional Managers, and Asset Managers to ensure financial accuracy across the portfolio, responding to accounting questions and resolving financial issues.
  • Support financial analysis, special projects, and other reporting requests as needed.
Qualifications & Skills
  • Bachelor's degree in Accounting, Finance, or a related field, or an equivalent combination of education and accounting experience.
  • Four or more years of hands-on, full-cycle accounting experience, preferably in property management, real estate, or multi-entity accounting. Experience must include preparing journal entries, accruals, reclassifications, and monthly financial statements.
  • Demonstrated ownership of month-end and year-end close, including balance sheet reconciliations and audit schedule preparation.
  • Working knowledge of GAAP, including accrual accounting, prepaid expenses, fixed assets, depreciation, and intercompany accounting.
  • Experience with cash flow monitoring, budget-to-actual variance analysis, and owner or lender reporting.
  • Experience with utility billing (RUBS) or property tax assessment reviews preferred.
  • Payroll processing experience, preferably with ADP.
  • Proficient in Microsoft Office 365, including Excel, Outlook, and SharePoint.
