Job Summary: Clinical Practice Administrative Opportunity

Help create a seamless experience for patients and care teams. Join a busy clinical practice where your administrative expertise, systems knowledge, and leadership will help keep daily operations running smoothly. Working with minimal supervision, you will support patient visits from scheduling through check-out and serve as a trusted resource for practice staff. This is a non-patient-care position; specific duties may vary by department.

What You’ll Do
  • Coordinate patient appointments, maintain accurate scheduling records, respond to routine inquiries, and support check-in and check-out activities.
  • Complete routine administrative and clerical work for a clinical service or physician practice.
  • Process patient billing forms, accept co-payments when required, and scan documents into patient medical records/LMR.
  • Handle, screen, or route messages regarding prior authorizations, provider questions, prescription refills, and test results.
  • Serve as a “Super User” for scheduling, registration, and billing systems, providing guidance and training to colleagues.
  • Perform advanced or specialized functions, such as surgical scheduling and schedule changes or blocking, as needed.
  • Provide functional guidance to Office and Practice Assistants and, in partnership with the Supervisor, help oversee daily staff activities.
What You’ll Bring

Strong administrative and clerical skills, advanced proficiency with scheduling, registration, and billing systems, and the ability to work independently while supporting and guiding others. Experience handling complex scheduling or other specialized practice functions is especially valuable.

Qualifications Administrative Office Professional

Bring your organization, communication, and advanced technology skills to a fast-paced office environment. We are seeking an experienced administrative professional who can manage multiple priorities, support efficient daily operations, and communicate clearly with a wide range of audiences.

  • Three to five years of office experience.
  • Advanced proficiency in Microsoft Outlook, Word, Excel, and PowerPoint.
  • Knowledge of office operations, standards, and procedures, including filing, copying, scanning, printing, and faxing.
  • Ability to manage non-routine phone calls, take complete and accurate messages, and resolve routine issues appropriately.
  • Strong written and verbal communication skills, including composing and editing emails, memos, and letters.
  • Excellent organization and time-management skills, with the ability to manage multiple tasks, follow established protocols, and work effectively within systems.
  • Strong proofreading and document-editing skills.
